We are seeking a highly skilled Administrative Assistant (Level 4) to provide comprehensive administrative support to 2–3 senior executives and their department. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced corporate environment. The ideal candidate will be proactive, resourceful, and capable of representing executives professionally across all interactions.

Key Responsibilities
  • Manage and screen incoming calls; act as a liaison between executives and internal/external contacts.
  • Coordinate and maintain complex calendars, schedule meetings, and organize departmental activities.
  • Arrange domestic and international travel, including accommodations and itineraries.
  • Prepare expense reports and financial documentation with accuracy and timeliness.
  • Draft correspondence, presentations, and reports using MS Office tools.
  • Support departmental needs with administrative tasks as required.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Utilize tools such as Power BI, Tableau, and SAP for reporting and data management.
  • Advise executives on time management and prioritize tasks effectively.

Required Skills & Qualifications
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint), email systems; familiarity with Power BI, Tableau, and SAP preferred.
  • Communication: Excellent verbal and written communication skills; ability to interact professionally with all levels of the organization.
  • Organizational Skills: Strong multi-tasking abilities and administrative coordination experience.
  • Interpersonal Presence: Ability to build relationships and provide guidance to executives.
  • Experience: Prior experience supporting senior executives in a large corporate environment; understanding of corporate policies and compliance.
