We’re looking for a confident and organised Receptionist to join our client’s administrative team in Norwich.
This is a key front-of-house position and the first point of contact for all visitors, callers, and colleagues across the business. If you enjoy a role that keeps you busy, involves a wide range of admin tasks, and requires strong communication skills, this could be a great fit.
Based fully in the office Monday to Friday and working hours alternate weekly between 08:00–16:00 and 09:00–17:00. You’ll also be required to cover at least one day between Christmas and New Year (exact date TBC).

What you’ll be doing
- Welcoming visitors, managing sign-ins, issuing/collecting visitor fobs, and directing guests or notifying staff.
- Handling all incoming calls via the central switchboard covering the Norwich office, GY workshop/warehouse, Bacton, Dimlington, and offshore platforms.
- Locating personnel using internal systems, including the access control system, Vantage, ATS, and the staff Intranet.
- Providing on-the-spot support to anyone approaching reception with queries or issues.
- Making travel bookings (hotels, hire cars, trains, flights, taxis) from authorised requests in a cost-effective way.
- Managing incoming/outgoing mail across all sites and ensuring correct routing via Royal Mail or local couriers.
- Updating Excel spreadsheets to track travel bookings and support invoice checks.
- Reviewing, cost-coding, and approving travel invoices — resolving discrepancies and requesting credit notes when needed.
- Producing documents, letters, forms, and presentations using Microsoft Office to a professional standard.
- Supporting the Incident Management Team when required, including handling sensitive calls or visitors.
- Booking meeting rooms and arranging lunches.
- Photocopying, binding, and other general administrative duties.
- Providing confidential secretarial and administrative support as needed.
What we’re looking for
- Experience in an administrative or front-of-house role.
- Basic knowledge of Microsoft Office (Word, Excel, PowerPoint).
- SAP experience is an advantage but not essential.
- Someone who is professional, dependable, organised, and able to stay calm under pressure.
- Strong communication skills and the ability to deal confidently with people at all levels.
- A hardworking, flexible, reliable approach.
