Job Title: Accommodations Coordinator (2 positions available)
Location: Fort McMurray, AB
Length: 1 – 6-12 months for STD/LTD coverage with possible extension, 1 – 12 months for mat leave coverage with possible extension
Rotation:
Shift: 10/4 Wednesday – Friday 10-hour days; 1 coordinator
Shift:  7/7 Wednesday – Tuesday 12-hour days; 1 coordinator

Key Areas of Contribution:

Reporting to the Accommodations Lead, you will ensure safe, accurate and reliable contractor performance and will oversee all operational functions pertaining to accommodations. As a camp and logistics coordinator you will provide leadership to the contractor through inspections, audits, meetings and reports. You will oversee safety compliance, facility maintenance coordination, housekeeping, administrative functions, recreation, and culinary activities. As a member of the logistics team you will strategize, develop and execute Turnaround and Outage events with increased on-site head counts. Through strategic planning, developed relationships with participants, and an ability to trouble shoot and overcome obstacles you will ensure the camp and travel logistics meet the needs of the business resulting in a successful event.

This role is a dynamic position where balancing priorities, adapting quickly to major changes and time management is key. During planned manpower peaks and when unexpected events occur you may be required to remain on site for extended periods of time, work shifts outside of normal operating times and coordinate relief logistical support.

The accommodations team is the face of the company in terms of ensuring that all guests, residents and visitors are treated with respect and hospitality. The Coordinator of Accommodations plays a critical role in the delivery of this service and is expected to set an example through their “Excellence in Customer Service” attitude and approach at all times.

Specific Accountabilities & Responsibilities:
    • Use available software, reports and contractor data to be fully aware of lodge occupancy levels, forecasted reservations and capacity availability on a daily basis
    • Assist contractors with set up and usage of the online reservation system
    • Maximize camp room utilization by auditing daily reports and making necessary adjustments
    • Respond promptly to inquiries and concerns sent by the client and / or contractors
    • Meet with contractor representatives on a daily basis to ensure that regular operations are underway and to anticipate performance challenges before they occur
    • Complete daily reports, weekly returns and crossover notes as scheduled and as required prior to going off shift
    • Complete daily lodge walking tours in order to maintain an awareness of general contractor performance levels, guest satisfaction levels and to identify deficiencies and opportunities for improvement.
    • Allocate support resources as required to provide appropriate support to contractors and guests
    • Attend and actively participate in weekly team meetings as scheduled
    • Be fully knowledgeable of the contractors’ scope of work (SOW) including the contractors’ Service Level Agreement (SLA) program
    • Complete quality assurance audits and quality control audits and inspections as scheduled and as required to the established standards
    • Perform Worksite Safety Observations (WSO’s) on contractor associates to confirm compliance to site safety rules
    • Follow up on safety investigations and review filed reports for contractor safety incidents
    • Perform inspections with Albert Health officers and implement recommendations as required
    • Collaborate with Turnaround and Outage stakeholders providing accurate availability status, outlining potential risks and offering realistic solutions
    • Ensure lodges are mobilized for Outages on time and to standard including exterior bus routes, parking, lighting, accommodations, culinary, recreation, safety, and security with sufficient supporting labour
    • Mobilize and demobilize dorms and lodges during periods of increased / decreased occupancy
    • Showcase our clients’ accommodations by hosting site tours for labour and contractor representatives
    • Lead daily and weekly logistics meetings, prepare and send reports / minutes
    • Draft, order and disperse outage event pamphlets and communication notices
    • Carry and operate the “On-call emergency” phone while on shift
    • Build Outage event information binders and keep them updated throughout the Outage
    • Ensure compliance to emergency response measures (e.g. weather, forest fire, pandemic) put in place by lodge operations contractor at the direction of our client

Health Safety & Environment:
    • Comply with all Health, Safety & Environment requirements and standards as established by our client
    • Be fully knowledgeable and comply with all regulations and legislative requirements of the Occupational Health and Safety Act for the Province of Alberta
    • Follow safe work procedures and ensure that all relevant personnel comply
    • Report injury or illness immediately
    • Report unsafe acts and/or conditions immediately
    • Ensure that required Personal Protective Equipment (PPE) is available and worn where and when required by self and relevant personnel

Qualifications
Education, Training & Certifications
    • Post-secondary education and / or relevant work experience is required
    • Business administration, PMP and / or contract management experience is preferred
    • Advanced Food Safety Training is required
    • St. John Ambulance Standard First Aid certification is required
    • Workplace Hazardous Materials Information System (WHIMIS) certification is required
    • Health and Safety Training for Supervisors is preferred

Experience
    • 5+ years of direct management experience of foodservice, accommodations, remote lodging and facility management services, ideally in a contracted/sub-contracted environment
    • Hospitality back ground at a supervisory level with in depth knowledge of the food and beverage industry, hotel management or ideally, both;
    • Experience managing a unionized workforce is preferred
    • 5+ years of quality assurance and quality control auditing, inspecting, reporting and managing corrective action programs
    • Experience auditing HACCP procedures, housekeeping processes and safety programs
    • Experience organizing large scale events with multiple stakeholders
    • Living away from home for extended periods of time in a residential/remote work site location

Competencies
    • Competent with Microsoft Office applications such as Outlook, Teams, PowerPoint, Excel and Word
    • Excellent interpersonal, verbal and written communication skills
    • Strong decision making and delegation skills
    • Must be a well-organized self-starter that requires minimal direct supervision
    • Excellent organizational skills that demonstrate the ability to resolve conflicting priorities
    • Strong attention to detail and accuracy
    • Proven analytical and problem-solving capabilities
    • Desire to take ownership of assigned tasks and willingness to learn
    • Possess a valid Class 5 driver’s license
    • Positive outlook and approach to overcoming challenges
    • Contract writing  and interpretations would be an asset
