Contract & Compliance Team Assistant

 

The Contracting and Compliance (C&C) Team is responsible for ensuring the procurement activities comply to the Technical Service Contract and ROO governance. The team manages and develops Rumaila’s procurement systems and processes, contract models and procurement compliance frameworks; and is also responsible for procurement planning and performance management related activities and reporting.

This role will directly report to the PSCM Contracting and Compliance Lead and provide PSCM related support to the team.

The Team Assistant will help with data/documentation management related duties, mainly to check the signed contracts are signed in accordance with agreed procedures, ensure the copies fulfil a list of requirements, then file, register and arrange all sorted documentation for storage with external service provider.

The Team Assistant will also help with other C&C team related activities. such as record keeping, data/information gathering, analysis and reporting, facilitation of meetings (such as room booking, issuing invites).

 

KEY ACCOUNTABILITIES

 

  • Support the C&C team in activities related to
  • contracts and other documentations’ electronic and physical (hard) copies’ checking, recording, filing and storage;
  • PSCM activities related data’s gathering, checking and documentation;
  • maintain digital documentation (and documentation systems) to support the C&C and wider PSCM team

Key Skills

 

  • Basic knowledge and experiences about procurement, its process and related activities
  • Previous experience of administrative operational support, within a team setting
  • Proactive and able to work with minimum supervision, with great interpersonal and stakeholder management skills.
  • Ability to plan, organise and prioritise with strong attention to detail.
  • Able to deal with ambiguity, be flexible and exercise discretion on confidential issues.
  • Proficiency in Microsoft O365 applications, especially Excel
  • Good communication skills both verbal and written, collaborative and flexible style
  • Respectful of diverse cultures and perspectives and promoting innovation and continuous improvement
Desirable

  • Data analysis and management skill
  • Previous experiences of filing and documentation control
