Our client, an oil and gas operator, currently requires a Contracts Assistant to join the team. This is a contract position based in Aberdeen.
Job Overview
The primary responsibility of this position is to support the organisation and interface with the relevant
Support Functions (Legal, Finance, Operations) along with the Leadership Team, to source goods and
services, at market competitive costs and provide contractual administration and compliance support in a timely manner to meet business needs, whilst minimising overall risk to the organisation.
Job Description
Role and Responsibilities:
• Creation and Issue of Purchase Orders and any Purchase Order Variations and updating the Technical Team (s) of ongoing status
• Contribute to or lead PO negotiations.
• Drafting, Issue and Execution of Contract Variations.
• Ensure the company is not exposed to unnecessary contractual and / or commercial risk in the course of its business.
• Ensure commercial and contractual risk is considered in all supporting documentation and that the
company is not exposed to undue contractual risk.
• Build relationships with external Third-Party Contractors
• Support Post Award Contract Management Compliance in terms of supporting Contract Owners in
scheduling Business Performance Reviews (BPR’S) with Third Party Contractors, facilitating post award kick off meetings and ongoing BPR meetings, take and issue Minutes of Meetings as required and expedite any action (s) until close out.
• Achilles Database Focal Point
• Create and distribute monthly contract management information pack for all contracts managed in SCM.
• Creation of new Contract records and maintenance of existing Contract records in Company BMS
• Ongoing Management of Purchase Order and Contract Register.
• Resolve any Invoice Queries to aid timely payment.
• Resolve any disputed invoices in conjunction with the Technical Team (s) and Third-Party Contractors
• Ongoing Management of Purchase Order Database
• Onboarding of New Suppliers
• Full compliance with Anti Bribery and Corruption (A.B.C.) Policy.
• Any additional Contract and Procurement Administration as required from time to time to fully support Senior Contract Specialist, Commercial Manager Leadership Team in accordance with ongoing business needs.
Health, Safety and Environment
• Full compliance with Company HSE Policies, where applicable to onshore role.
Strategic Priorities
• Support business needs in accordance with the annual business plan.
Working Relationships
• Work collaboratively internally with Legal, Finance, Operations and Leadership Team as required and externally with Third-Party Contractors.
Competence Requirements and Skills
Education & Associations
Bachelor’s Degree Law/Business Management or equivalent experience.
Additional Requirements
• 3-5 years relevant Oil and Gas industry experience preferably gained through working within an Operator or contractor environment.
• Preferable office-based experience in an SCM function
• Strong organisational, planning and negotiation skills.
• Self-motivated, with the ability to work under own initiative but also as part of a team.
• Ability to prioritise and manage workload to meet business needs and working to tight deadlines.
• Results oriented and commercially aware.
• Good interpersonal and communication skills.
