The Document Controller plays a key role in managing, organizing, and maintaining an organization's documentation to ensure that it is properly stored, easily accessible, and compliant with regulatory or company standards. The primary responsibilities include overseeing document management processes, ensuring accuracy, and ensuring documents are up-to-date and appropriately archived.
 
Key Responsibilities:
1. Document Management: Organize, manage, and track the flow of documents between various departments and external parties.
2. Version Control: Ensure that all document versions are accurately recorded, with the latest version easily accessible while maintaining a history of previous versions.
3. Document Distribution: Distribute documents to relevant stakeholders (e.g., project teams, clients, vendors), ensuring timely access to critical information.
4. Archiving and Retrieval: Maintain both physical and electronic filing systems for easy retrieval and long-term storage, adhering to organizational or regulatory retention policies.
5. Quality Control: Review documents to ensure accuracy, completeness, and compliance with company procedures or regulatory standards.
6. Compliance: Ensure that documentation processes follow company policies, industry regulations, and quality standards.
7. Audits: Prepare for internal and external audits by ensuring that all documentation is up-to-date, properly filed, and accessible.
8. System Management: Manage document control systems, which may include electronic document management systems (EDMS) or specific software platforms.
 
Skills & Competencies:
- Attention to Detail: Ensures that all documents are accurate and compliant with standards.
- Organizational Skills: Capable of managing large volumes of documents while maintaining efficient filing systems.
- Technical Proficiency: Familiar with document management software and systems.
- Communication: Ability to liaise between departments and external parties, distributing documents effectively.
- Time Management: Able to prioritize tasks and meet deadlines, especially in fast-paced environments like construction, engineering, or manufacturing.
