DOCUMENT CONTROLLER
 
  • Location: Rovigo

  • Reports to: Maintenance Superintendent

JOB PURPOSE
  • Provide document management and records keeping services and advice to relevant personnel engaged in production facilities management and serves as the first point of contact for matters relating to technical documents and related issues.
  • Manage transmittals and document exchange with contractors as support for the execution of ongoing facility modification projects.
  • Flawlessly handle significant number of technical documents and inspection data.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES
  • The position plays a key role in managing drawings and document revisions, records associated with Management of Change, Facilities Modifications, FIMS, regulatory and technical compliance and issues related with the electronic document management system in SAP.
  • Manage transmittals and document exchange with contractors as support for the execution of ongoing facility modification projects.
  • Key Systems & Process Relevant to Position: SAP document Management system, Management of Change, LAN.
  • Subject matter expertise in the areas of document management, storage, control, review and updates.
  • Up-date of red line drawings.
  • Correct filing and storage of operations records.
  • Update of controlled copies of hardcopy documents.
  • Monitoring the off-site storage of THE COMPANY documentation.

EDUCATION
  • High school graduation, diploma.
  • About 10 years of experience in document control, preferably in Oil & Gas industry.

TECHNICAL SKILLS
  • More than 10 years experience
  • Technical transmittals management
  • SAP DMS, Microsoft TEAMS
  • Offsite storage monitoring
  • Classification, filing and document recovery
  • Proficient in computer software programs such as, word processors, spreadsheet programs, and database systems.
  • Proficient typing skills.
  • Data organization and storage knowledge.
  • Numbering and nomenclature skills
  • Distribution skills
  • Markup and review management
  • Delivering consistently formatted reports

KEY INTERFACES
  • Technical Information & Support relationship with members Maintenance, Projects Management, Operations and Engineering and services contractors groups on day to day basis for document issues, red-lines, updates, data exchange and handling etc.
  • Interfaces with contract companies who provide printing / copying services to THE COMPANY as well as off-site document storage and recovery.
