The Senior Document Controller manages all documents created by the Owner and his representatives, which are used for the implementation of the project, from the first project phase to the handover of the plant to the operations team (operational phase).
He must show initiative in his area of responsibility and work with a minimum of supervision.
  • Maintains electronic document registers.
  • Controls and records all incoming and outgoing project documents, correspondence, drawings/drafts, reports and Submissions.
  • Organizes the distribution of documents.
  • Follows and optimizes the existing document control procedure.
  • Manages the document review process and ensures that the owner's team is compliant with the contractual requirements in a timely manner.
  • Ensures proper coordination with the owner's document control department and is responsible for the correct compilation of the final documentation and handover to the operations team.
  • Provides general administrative support when needed.
  • Has knowledge of different types of eDMS (electronic document management system).
  • Manages the approval documents (in German) as required.
  • Reviews and controls document management protocols.
  • Updates and monitors archiving, copying, and scanning.
  • Generates reports on the information collected and how it is shared.
  • Train new users and existing users on the eDMS system.
  • Ensures that all information is captured and stored in the central document management system.
  • At least 5 years of relevant experience with commercially available electronic document management systems, preferably in a large engineering/construction project environment. Sobi's knowledge of PIRS is an advantage.
  • Fluent in German and English. The ability to communicate in Spanish is an advantage.
  • Ability to work in a team with excellent communication skills and the ability to make effective working arrangements with others to meet and maintain.
  • Experience working on complex projects with a solid technical understanding.
  • Mastery of computers for office and database work.
  • Ability to work independently.
  • Very good knowledge of MS tools.
  • High IT affinity required.
  • Familiarity with EPC and EPCM projects in the industrial sector.
