Position: Executive Assistant- (EVP)
Job location: Saudi Arabia 

Job description:
  • Coordinate with internal and external stakeholders to ensure accurate scheduling and smooth conduct of meetings as and when required.
  • Prepare and circulate the meeting agendas, support material and later minutes of meetings to all attendees, to ensure effectiveness of meetings, accuracy of material, and coordination for action plan communication and follow ups.
  • Compose and deliver specific emails, letters, documents and memos as instructed , to ensure effective communication.
  • Deal with internal and external stakeholders in a professional manner, including assisting them for visits or meetings, consolidating documents, invoices/etc., and performing basic coordination, to enable achievement of team objectives while maintaining a positive impression of the division.
  • Maintain an effective electronic and hard copy filing system for the team, along with maintaining a contact list of all existing stakeholders, third party and visitors, to ensure a structured database that enables achievement of team objectives.
  • Manage travel arrangements for business trips, events or meetings as required, to ensure their smooth conduct.
  • Prepare and consolidate clear, concise, and structured reports and gather and analyze required information, to help with clarity and enable effective decision making.
  • Work closely with other direct reports of the EVP on developing meeting agendas, organizing events, reviewing, and editing documents such as presentations, reports… etc
  • Independently research and prioritize incoming issues and determine appropriate course of action, referral, and/or response.
  • Ensure and maintain a high level of confidentiality while communicating with internal stakeholders and external entities.
  • Manage the EVP’s schedule and ensure proper logistics are provided timely.
  • Perform other related duties as assigned by the EVP.
