About the role
We’re looking for an extremely organised and motivated Office Manager who can help run and organise our increasingly busy manufacturing facility in Columbus, Ohio. From organising diaries to receiving deliveries, from arranging travel to taking minutes, from stocking up the kitchen to changing the ink on the printers, this is a varied role where you’ll have the opportunity to make an impact from the get-go, and work with a fantastic group of people.
A day in the life
As our Office Manager, you could:
• Oversee the daily office operations of the facility, working alongside Facilities to ensure things
run smoothly
• Coordinate the meeting rooms; turning them around between use
• Manage office supplies inventory and place orders as needed
• Manage the main office phone line, directing calls as appropriate
• Meet and greet any visitors attending the facility, including any contractors expected
• Support the senior team with any admin-related tasks, including collating together PowerPoint
presentations and Word reports
• Manage busy diaries for the senior team (at least two people) and work across multiple time
zones to organise meetings

• Arrange domestic and international business travel for the team
• Organise the onboarding of new employees, working closely with IT and Executive H&S
• Submit purchase orders and expense claims using our Finance system
• Organise lunches, dinners and other internal and external events; especially social events for
the office
• Organise the yearly Scientific Advisory Board from a travel and administrative perspective
• Source corporate clothing suppliers and manage purchases for the site
• Work closely with the wider Administration team based at our other sites; in particular, providing
remote cover for our Houston Office as and when necessary
• Work together with the wider Administration team on a yearly calendar of events and
conferences for Ohio team to attend
• Work on specific projects as and when required
About You
• You have at least ten years of administration experience within a commercial, corporate
environment – previously working at a facility in a similar environment would be nice!
• Your attention to detail is excellent. You have a great memory and your ability to manage
multiple tasks simultaneously is fantastic.
• You have a can-do attitude. Your communication skills are excellent and you’re all about team
spirit.
• You’re a motivator. You can rally the team together and foster a culture of connection.
• You’re an organiser. You’re able to manage the team and make sure everyone is accountable
for playing their part in making Velocys a success.
• You’re process-oriented. You’re able to implement and follow policies and procedures
effectively.
