THE ROLE

  • Supports Anti-Bribery and Compliance by registration of any gifts and hospitality and approvals (memorandum).
  • Assists in budget preparation and review, and implementation of Continuous Improvement (CI) projects.
  • Prepares applications for renewal of company business permits, professional tax for lawyers, and notarial commissions.
  • Administrator and/or “super user” of the following customized applications: Permits Tracking System (PTS), Legal Document Management System (LDMS), and Client's Online Legislation Library.
  • As Health, Safety, Security, Environment (HSSE) focal point, records in the company’s emergency response roster (Incident Management Team).
  • Maintains the legal library, filing systems, notaries and other registers (hard copy and electronic).
  • Records Focal Point and SAP Focal Point.
  • Reviews and monitor invoices from external law firms and other vendors.
  • Ensures timely payment, correct allocation, and reporting of costs.
  • Organizes case or project files.
  • Manages the team calendar; arrange travel, meetings and events; finalize execution copies of documents and arrange transmittal; prepare reports; screen calls and visitors.
  • Assists lawyers in scheduling mandatory continuing legal education (MCLE).
  • Provides corporate secretarial support.
THE INDIVIDUAL

Education

  • College Graduate, preferred courses are BS Legal Management and Library Science
Experience

  • At least three (3) years’ work experience with a law firm/legal industry/legal department or with exposure in drafting various corporate legal documents.
Competencies Required

  • Proficient in the use of SharePoint, Adobe, and Microsoft (MS) software (i.e. Windows, Word, Excel, PowerPoint, MS Teams and Outlook) and databases to manage voluminous data
  • Able to sort, index, categorize, order, manipulate and organize information/data/documents
  • With experience in records keeping and retrieval
  • Preferably with experience with SAP and processing of invoices
  • Able to communicate effectively (both oral and written) and foster good relationships with key stakeholders (both internal and external)
  • With a keen eye for details, flexibility and qualities of a team player
  • With time management skills and ability to organize multiple tasks and work under pressure
  • Able to write /draft letters, reports, memos, and other related documents
  • With experience in handling various corporate documents and applications filed with the SEC
