Job Title: Project Coordinator
Location: Adelaide, SA
Roster: Monday – Friday
Pay Rate: Negotiable

** Potential Contract to Permanent position **
 
The Project Coordinator role will be responsible for coordinating and managing all aspects of the training and event management process, from planning and organizing to conducting and evaluating.

Overview of position:
  • Delivering enabling programs across the disciplines of Talent and Succession, Leadership Development, L&D, Culture and engagement, performance development.
  • Project Management of leadership development programs
  • Event management (learning programs)
  • Liaising with events coordinators at venues
  • External vendor management
  • Coordinating participants and facilitators from geographically diverse locations
  • Managing logistics (venues, travel, invoicing)
  • Ensuring participant records are kept, liaising with L&D team to record attendance at programs
  • Experience in internal communications an advantage
  • Travel to venues required when programs are running (Adelaide Hills Convention Centre)
 
Key tasks:
  • Planning and organizing training events: coordinating with trainers and participants from geographically diverse locations, booking venues, arranging catering, and managing logistics.
  • Coordinating and printing training materials: including presentations, handouts, and other materials to support training sessions.
  • Coordinating with vendors: identifying and contracting with vendors for event-related services such as catering, audio/visual equipment, and transportation.
  • Managing event budget: creating and managing budgets for training and event-related expenses.
  • Managing event timelines: creating and managing timelines for training and event-related activities to ensure that everything runs smoothly and on schedule.
  • Managing event registrations: managing registrations, maintain attendance records and communicating with participants.
  • Coordinating with stakeholders: communicating with clients, sponsors, and other stakeholders to ensure that their needs and expectations are met.
  • Evaluating event success: collecting feedback from participants and stakeholders and using this feedback to make recommendations on improvements for future events.
  • Managing project documentation: creating and maintaining project plans, status reports, and other project-related documentation.
 
Main Events:
  • 15 workshops will need to be delivered between June & September.
 
Requirements:
  • Must have successfully coordinated senior leadership forums / learning events in the past
  • Project Management: The ability to manage tasks, timelines, and budgets effectively.
