NES Fircroft is working with an Oil & Gas Operator based in Darwin, seeking a Onboarding & Roster Coordinator to join their team. (Onboarding for Onshore & Offshore vendors & contractors)
Job Title: Vendor Onboarding & Roster Coordinator
Location: Darwin, NT (Located Onshore at Processing Facility)
Length of Contract: Initial 12 month contract
Hours: Monday to Friday 8 hour days
Start Date: ASAP
Pay / Experience: Mid to Senior level

Job Title: Vendor Onboarding & Roster Coordinator

Duties:
- Provide support in the delivery of Integrated Services solutions, primarily focused on liaising with Vendors / Planner and Schedulers for placeholder details and requests in the Roster.
- Reconciliation and auditing of the current contractor job architecture, creating and maintaining job requests in the Contractor Portal, ensuring the data within both the upstream and downstream systems align.
- Conduct all activities in a safe and efficient manner in accordance with the company’s policies and procedures. At all times, ensure the welfare of personnel and the protection of our assets and the environment.
- Liaise with respective facility planning and scheduling teams to gain insight into planned and upcoming work.
- Liaising with vendors for onboarding / rostering and travel requirements.
- Resource approvals & compliance checks for travel readiness.
- Check any “to be confirmed” (TBCs) to be named and follow up with Vendors.
- Contact Vendors for helicopter delays / changes as advised by Roster Coordinators.
- Add MSIC Dispensations & email addresses into data base.
- Request additional baggage from Aviation Operations once travel booked.
- Update rosters for all Vendor requests.
- Advise ATPI when expired travel competencies have been completed so they can book travel
- Manage all contractor portal queries from vendors and the organisation.
- Training and upskilling of vendors on use of the contractor portal.
- Offboarding once work scope requirements complete.
- Supply VISA Letter of Intent.
- Working with Support personnel on problem resolution and escalation.
- Establish a handover process for Operations to manage the creation and maintenance of Job requests and the respective processes.
- Ensuring all contractor data management processes align with central Vendor support function.
- Ensuring contractor data remains confidential and restricted to users with appropriate access.
- Ensuring HRIS process are aligned to industry best practice.
- Ensuring contractor workforce planning is integrated into downstream and upstream systems.
- Maintain leadership and guidance for all offshore manilla teams supporting the movement of contractors.
- Ongoing weekly meetings to ensure alignment of offshore teams with Perth and Darwin related contractor movements.
Experience Required:
- Previous experience in Vendor onboarding administration processes
- Demonstrated experience in Company policies and procedures
- Experience in business process change and training end users within the oil & gas and mining sectors
- Highly proficient in Microsoft Office, specifically Word and excel
- Excellent verbal and written communication skills
- Experience with Success Factors (SAP)
- MyPass or similar contractor competency management and onboarding systems.
- Strong team player & highly organized, self-motivated, results orientated person
- Experience liaising with External vendors / Internal planners, schedulers and roster coordinators.
