NES Fircroft are actively looking to recruit a Shutdown, Completions & Admin Support (contract position) on behalf of ConocoPhillips, Teesside.

The Job Opportunity
The Norsea Terminal is recruiting for a talented individual to support the Shutdown delivery team with Shutdown, Completions & Admin Support (contract position) – Start date: June 2023.
Reporting to the Programme & Shutdowns Team Leader working within a shutdown execution organisation, the candidate will be responsible for providing general administration support to the shutdown organisation alongside document control, procurement & completions support duties.

Main Duties and Responsibilities of the Role

Shutdown Support
    Shutdown Administration
  • Provide administrative support to the shutdown team
  • Maintain the Shutdown control register including transferring information from job cards and keeping up to date with changes. Setting up and maintaining hyperlinks to other documents,(e.g. job cards, pressure test procedures, lift plans, Ops procedures, etc.)
  • Maintain action logs and TQ registers, logging responses/actions and highlight due dates approaching to owner
  • Produce and distribute minutes from key meetings and update action log accordingly

Document Control
  • Provide document control support to the shutdown team
  • Focal point for the control of shutdown documentation and correspondence
  • Maintain Project Electronic Document Management System’s in line with procedures including master document registers and document numbering
  • Control the flow of documents & information (in and out) for internal resources and 3rd parties utilising transmittals
  • Manage vendor document trackers to ensure all comments and approvals are controlled within specific timescales
  • Create and transmit work/commissioning control packs to the Shutdown workforce.
  • Check in / check out drawings from SmartPlant an update key information
  • Manage document requests from vendors

Procurement
  • Liaise and interface with Material coordinator for delivery and movement of materials
  • Support Shutdown supervisors with bulk material stocking requests
  • Expediting of offsite overhauls and associated reports

Project Support
  • Maintain and regularly update MOC status register.
  • Support Shutdown project engineers with project execution activities
  • Carry out plant equipment documentation searches on behalf of the SD Project Engineer

Shutdown Management Support
  • Develop and produce routine shutdown reports with input from planning lead and cost lead for shutdown management review.
  • Provide communications support within the SD team and the wider organisation
  • Reviewing PO SAP reports and identify missing or new requirements
  • Attend project meetings as required and distribute minutes and update action logs accordingly
  • Represent the Company to site visitors, contractors and suppliers as required

Completions, Commissioning & Close Out
  • Support the Completions Engineer with maintaining registers and other QA documents such as sign off sheets
  • Focal point for joint and instrument tag returns and maintaining associated registers
  • Produce system completion packs incorporating associated documentation

Competency Requirements      
  • Strong and proven experience in document control &/or administrative support – Essential
  • Sound knowledge of document control principles and proven ability to apply them – Essential
  • Experience in electronic document control systems (PIMS or equivalent) – Essential
  • Demonstrable project engineering experience of managing small to medium scale multi disciplined projects – Essential
  • Extensive Engineering experience in Oil & Gas, PetroChem or other regulated industry -Essential
  • Excellent interpersonal, communication and team working skills – Essential
  • Flexible and adaptable, demonstrating a positive “can do” approach to work – Essential.
  • Ability to function well within a team environment – Essential.
  • Effective time and workload manager – Essential.
  • Ability to use Microsoft packages – Essential.
  • Knowledge of SmartPlant and SharePoint – Preferable.
  • Hold a Full UK driving licence – Essential.
