NES Fircroft is looking to hire a Team Lead to support our client's Payroll and HRIS operations. This role is responsible for processing timely and accurate payroll for all US employees for our client and will provide guidance and support to their overall US payroll team. Responsibilities
• Lead, Coach and Mentor the US payroll team across all locations
• Implement, maintain, and review payroll / HRIS processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
• Serve as Subject Matter Expert and Super User in various US payroll / HRIS systems: SAP, ADP, PTS, etc.
• Lead interface Health Clinic, Third Party provider and HR to ensure accuracy of short-term disability payments.
• Resolve employee and supervisor inquiries regarding payroll, tax, timekeeping, and vacation policies.
• Partner with others in HR and finance to ensure alignment.
• Prepare and maintain accurate records and reports of payroll transactions.
• Oversee additional payroll transactions for bonuses, relocation, fitness subsidy, acting pay, vacation payout, severance, stock options, tuition reimbursements, etc.
• Accurately identify taxable fringe benefits and processes accordingly (gifts, moving expenses, LTD).
• Complete journal entries after each payroll including adjustment entries for invoices and cost transfers.
• Interface with Corporate Total Rewards and Treasury on Payroll Funding.
• Audit timekeeping hours and coding and approve time records prior to processing payroll.
• Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
• Facilitate audits by providing records and documentation to auditors (internal and external).
• Identify and recommend updates to payroll processing software, systems, and procedures.
• Implement union contract changes associated with payroll and timekeeping.
• Maintain files as required to assist with Work Force and Long-Range Planning.
• Complete internal and external ad hoc requests for LTD claims, industry surveys, government reporting, worker’s compensation claims, etc.
Deliverables
• Payroll for US employees.
• Timekeeping for Payroll, STD, and Vacation policy
• Engaged “One Team” for US Payroll
• Employee’s pay statements and annual W-2 earnings summaries.
• Payroll journal entries.
• Monthly and annual files for accounting.
• Continuous Improvement of Systems and System interaction
• Reports for numerous audits and projects (5500 audit, Vanguard compliance testing, Solomon, etc).
• Audited quarterly and annual wage and tax reporting to government agencies.
Competencies
• Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
• Extensive knowledge of Payroll and all interactive systems – including but not limited to ADP, SAP, PTS and CATS.
• Excellent organizational skills and attention to detail.
• A questioning attitude.
• Ability to constantly adapt to change (policies, laws, processes).
• Identifies opportunities to improve existing processes.
• Ability to meet tight deadlines and great time management skills.
• Strong analytical and problem-solving skills.
• Ability to work collaboratively with others within the company.
• Knowledge of accounting principles.
• Proficient with Microsoft Excel.
Qualifications
• Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field.
• Eight years of related experience.
• Proficient with SAP and ADP WorkForce Now software systems.
• Proficient with Microsoft Excel
• Strong organization skills and attention to detail.
• Strong analytical and problem-solving skills.
• Previous experience with union contracts.
• Knowledge of payroll taxes.
• Understanding of payroll accounting.
