Role: Document Controller
Based: Groningen, The Netherlands
Duration: 12 months (with possible extension)
Monthly Salary: Depending on Experience
Schedule: 32-40 hours
NES Fircroft is working with a company based is looking for a Document Controller to join an LNG plant based in Groningen, the Netherlands. For this role, you will be working in a team consisting of about 15 colleagues.
Our client are looking for someone who can help organize and manage all project documentation efficiently.
As a Document Controller, you are responsible for managing and organizing project documentation throughout the entire document lifecycle. You ensure that all documentation is properly identified, classified, stored, and distributed in accordance with quality standards and internal guidelines. You play a crucial role in safeguarding the accessibility, integrity, and traceability of all project documents. You will ensure the traceability of documents and metadata, as well as timely distribution after review cycles. In addition, as part of the Document Control team, you will contribute to the further professionalization of the discipline.
Work Location
Your main office will be Groningen. Travel to project sites in northern Netherlands, including Eemshaven, will be required.

Main Responsibilities
- Document Numbering & Identification: Apply consistent numbering to accurately identify and trace documents. Manage numbering to prevent duplication and confusion.
- Archiving & Organization: Digitally organize and archive project documentation within a dedicated SharePoint DMP environment to ensure easy accessibility for all project members.
- Change Control & Distribution: Track document revisions, maintain metadata, and ensure correct issuance and distribution. Guarantee that all changes are properly recorded and communicated.
- Correspondence Handling: Process incoming and outgoing correspondence, ensuring accurate registration and follow-up.
- Master Document Register: Maintain and update the Master Document Register by managing metadata. Check registers from external parties to ensure consistency and completeness.
- Quality & Compliance: Verify documents for quality, integrity, and compliance with internal standards and requirements.
- Document Traceability: Ensure the traceability of all documents and related metadata, keeping document information current and accessible at all times.
- Review & Distribution: Monitor deadlines for document distribution after review cycles. Ensure timely circulation of documents and feedback to all relevant parties.
- Progress Reporting: Generate reports and views on document status to inform project teams and management.
- Awareness & Support: Educate and advise project teams on document control procedures. Serve as the main point of contact for document control and SharePoint DMP matters.
- External Communication: Maintain contact with contractors and suppliers on document control topics, providing guidance on SharePoint DMP usage.
- Project Meetings: Attend project meetings to discuss and manage document control aspects.
Requirements:
We are looking for someone who works accurately, collaborates well, and enjoys creating structure. To succeed in this role, you bring:
- Minimum MBO-4 level of education or equivalent working/thinking level
- At least 5 years of experience in Document Control and/or Information Management
- Experience with large (technical) projects
- Familiarity with Document Management Systems such as SharePoint or similar platforms
- Understanding of document management processes (version control, archiving, metadata, review cycles, document types, classification, distribution matrices, Master Document Register)
- Proficiency with MS Office (Word, Excel, Outlook), and ability to quickly learn and share knowledge of new software tools

- Excellent command of Dutch and English, both spoken and written
- Strong organizational skills: able to map document flows, identify stakeholders, and set priorities
- High attention to detail and accuracy in document handling
