Job Description: Office Administrator Position Summary
The Office Administrator plays a key role in supporting daily operational activities and ensuring efficient office and field coordination. This position is responsible for accurate data entry, sourcing parts and materials, managing field tickets, scheduling manpower, and maintaining organized email communication. The ideal candidate is detail‑oriented, highly organized, and able to manage multiple priorities in a fast‑paced environment.

Key Responsibilities Data Entry
  • Accurately enter operational, financial, and project-related data into internal systems.
  • Maintain up-to-date records and ensure data integrity across all platforms.
  • Prepare reports and summaries as needed for management and field teams.
Parts Sourcing
  • Research, identify, and source required parts and materials based on project or field team needs.
  • Communicate with vendors to obtain quotes, availability, and delivery timelines.
  • Track orders, verify deliveries, and maintain an organized inventory log.
Field Ticket Management
  • Receive, review, and process field tickets for accuracy and completeness.
  • Coordinate with field teams to resolve discrepancies or missing information.
  • Ensure timely submission of field tickets for billing or payroll purposes.
Manpower Scheduling
  • Build and maintain daily and weekly schedules for field personnel.
  • Coordinate staffing based on project requirements, workload, and availability.
  • Communicate schedule updates or changes to relevant team members.
Email Management
  • Monitor and manage shared inboxes and internal communication channels.
  • Prioritize, respond to, and organize incoming email requests.
  • Ensure timely communication between office staff, field teams, clients, and vendors.
Qualifications
  • Previous experience in office administration, dispatching, or operations support preferred.
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word) and data-entry systems.
  • Excellent organization, communication, and time-management skills.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Detail-oriented with strong problem-solving skills.
Preferred Skills
  • Experience in construction, field services, or industrial operations.
  • Familiarity with scheduling software or field ticketing systems.
  • Ability to coordinate with multiple departments and field personnel.
