Job Title: Roads & Grounds Coordinator – Civil Infrastructure
Location: Edmonton, Alberta
Length: 1 year (with potential extension)
Rotation: 14 days on / 14 days off
 
Role Summary
The Roads & Grounds Coordinator provides technical coordination and field oversight for civil infrastructure activities including road maintenance, laydown upkeep, water and ditch management, erosion control, winter operations, and small civil projects. This role ensures safe, compliant, and efficient execution of all contractor activities while maintaining accurate tracking, reporting, and cost stewardship. The position requires strong collaboration with contractors, internal stakeholders, and technical teams to ensure operational readiness and continuous improvement.
 
Core Responsibilities
Roads, Laydown & Water Management
  • Oversee Roads/Laydown maintenance, water management, ditch maintenance, erosion control/repair, winter snow removal, and small civil projects.
  • Review and approve daily CDMS submissions by:
    • Verifying equipment hours using Titan reports.
    • Reviewing daily reports submitted by the Bouchier planner.
 
Material & Aggregate Tracking
  • Record all aggregate deliveries in the QXYYYY Aggregate Tracking.xlsx spreadsheet.
    • Confirm pricing accuracy and create quarterly copies to reflect pricing changes.
    • Prepare monthly stockpile inventories using the Propeller stockpile volume tool.
    • Create project folders (including WO #) and save all related documentation.
  • Record dust suppression deliveries:
    • Update the Dust Suppression spreadsheet.
    • Collect and save invoices for GR Attests (hyperlink as required).
 
Road Maintenance & Field Inspections
  • Update site light‑vehicle road tracking sheet.
  • Prepare planning maps using Propeller.
  • Conduct Comp Lake inspections, including the sedimentation pond adjacent to Canterra Road.
  • Conduct Canterra Road and MPAR inspections 2–3 times per set.
  • Liaise with Cenovus regarding MPAR road maintenance activities.
 
Equipment Tracking
  • Save daily activity and equipment reports in the designated Daily Reports folder.
 
General Tasks
  • Prepare planning maps using Propeller.
  • Run open WO report once per set in eMaint.
  • Liaise with Mine Technical to ensure engineering standards are met.
  • Manage annual vegetation management program.
  • Approve ETMPs (Material Passes) for contractors.
  • Approve contractor access (Visitor or otherwise).
  • Order rental equipment through United Rentals Total Connect as required.
  • Review and approve permits.
  • Work Order Management: Review, approve, and close out WOs.
 
Contractual & Cost Management
  • Submit monthly Cost First Incurred report to the Business Analyst.
  • Send Canterra Monthly Stewardship report with aggregate and dust suppression costs.
  • Prepare Bouchier cost estimates using the Civil Cost Estimating Sheet.xlsx, ensuring rates are current.
  • Complete monthly accruals, including YTD actuals, and prepare YE outlook for the Business Analyst.
  • Review monthly Bouchier stewardship reports.
  • Pay Suncor invoices via eZPay.
  • Verify and validate spend in SAP against CDMS submissions.
 
PO Management
  • Use SAP to monitor PO activities.
  • Submit PO changes using WinShuttle.
  • Ensure BUs provide cost centers/AFEs/Project numbers/SAP WOs for eMaint requests.
  • Submit annual RegFrame compliance confirmations.
 
Site Interfaces
  • Attend daily coordinator meetings with Bouchier GF and Planner, using the Daily Coordination Meeting template to record discussions.
  • Attend quarterly Bouchier and semi‑annual Acden Environment PRTs.
  • Attend Bouchier and Acden Environment action log meetings once per set.
  • Conduct daily field inspections of civil and waste management contractor activities.
  • Conduct V&Vs with all contractors.
  • Conduct weekly KPI review meetings with contractors.
 
Corporate Interfaces
  • Liaise with Contract Manager and LCL to ensure contract compliance.
  • Prepare bi‑annual Bouchier approved equipment and manpower lists
