Position Summary We are seeking a highly organized and customer-focused Administrative Assistant to provide administrative and clerical support in a fast-paced operational environment. This role serves as a key point of contact for employees, visitors, contractors, and vendors while ensuring efficient day-to-day office operations. Key Responsibilities Reception & Visitor Management
- Answer and direct incoming phone calls professionally.
- Greet visitors, contractors, and vendors while following site access procedures.
- Coordinate visitor access and notify employees of arrivals.
- Maintain a professional reception area and common spaces.
- Schedule meetings, conference rooms, and office resources.
- Maintain conference room calendars.
- Coordinate meeting logistics, including room setup, audiovisual equipment, and catering.
- Arrange meals and refreshments for meetings and events.
- Assist with event setup, cleanup, and employee engagement activities.
- Provide administrative assistance to management and site personnel.
- Prepare, edit, format, and distribute business correspondence, reports, presentations, and other documentation.
- Assist with document management, copying, and filing.
- Support special projects and administrative assignments as needed.
- Order and maintain office and breakroom supplies.
- Monitor inventory levels and coordinate replenishment.
- Manage incoming and outgoing mail, shipments, and deliveries.
- Serve as a liaison with vendors and service providers.
- Assist with office organization and workspace coordination.
- Prepare and process expense reports while maintaining accurate documentation.
- Support both office and field personnel with administrative needs.
- Respond to requests in a timely and customer-focused manner.
- Coordinate building-related activities with internal departments.
- Foster positive working relationships across multiple teams.
- Handle confidential and sensitive information with discretion.
- Adhere to company policies, procedures, and compliance requirements.
- Protect business and personnel information.
- High school diploma or GED.
- Experience in administrative, clerical, receptionist, or office support roles.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Strong data entry skills with a high level of accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain professionalism and confidentiality.
- Experience supporting industrial, construction, manufacturing, operations, or similar environments.
- Experience with purchasing, expense reporting, or administrative ticketing systems.
- Experience using SAP or similar ERP systems.
- Experience coordinating meetings, events, or visitor management processes.
