The Document Controller is responsible for managing and controlling project documentation throughout its lifecycle, ensuring accuracy, compliance, traceability, and timely distribution of all technical and project records.
Key Responsibilities
- Manage day-to-day document control activities within the Electronic Document Management System (EDMS), including:
- Registration and processing of incoming documents.
- Preparation and issuance of transmittals.
- Initiation and monitoring of document review workflows.
- Maintenance of document distribution matrices.
- Compilation and issuance of review comments.
- Return of reviewed documentation to contractors and stakeholders.
- Perform quality checks on documentation to ensure compliance with project standards, procedures, numbering conventions, formatting requirements, and document quality expectations.
- Monitor and expedite document review cycles to ensure timely approvals and prevent project delays.
- Support system users by providing guidance and training on document management tools and processes.
- Liaise with internal stakeholders and contractors to facilitate effective document flow and correspondence management.
- Assist with EDMS administration, including troubleshooting, configuration support, and coordination of system maintenance activities.
- Produce regular reports on document status, highlighting progress, risks, delays, and areas requiring attention.
- Ensure all documentation is correctly registered, classified, archived, and readily accessible in its latest approved version.
- Maintain strict confidentiality in the handling of all project, technical, commercial, and contractual documentation.
- Support project teams on all matters related to document management and control.
- Promote compliance with Health, Safety, Security, and Environmental (HSSE) requirements and company procedures.
- Ensure the accuracy, completeness, and traceability of all documentation under responsibility.
- Guarantee compliance with document management procedures and quality requirements.
- Support project execution through the timely processing and distribution of technical documentation.
- Provide reliable reporting and identify document management risks, delays, or inconsistencies.
- Maintain document integrity and version control throughout the project lifecycle.
- Minimum 6 years of professional experience.
- At least 3 years of dedicated Document Control experience within Oil & Gas, EPC, engineering, construction, or major infrastructure projects.
- Proven experience managing the full lifecycle of technical and project documentation.
- Strong understanding of Electronic Document Management Systems (EDMS).
- Experience coordinating document workflows between contractors, vendors, consultants, and project teams.
- Strong organisational, planning, and communication skills.
- Ability to manage multiple priorities in a fast-paced project environment.
- Fluent English, both written and spoken.
- Residential position based in Istanbul, Turkey.
- No international site travel required.
- Reports to: Lead Document Controller.
