About the Role We are seeking an experienced Document Controller to support a major international energy development project based in Milan. Working within the Project Information Management team, you will be responsible for ensuring the efficient, accurate, and secure management of project documentation throughout the project lifecycle.
This is an excellent opportunity to join a large-scale, multinational project environment and work closely with engineering, project controls, and contractor teams across multiple locations.

Key Responsibilities
  • Manage and maintain project documentation in accordance with project procedures, standards, and information management requirements.
  • Ensure accurate document receipt, registration, quality checks, distribution, and archiving within the Electronic Document Management System (EDMS).
  • Monitor document workflows and support timely reviews and approvals.
  • Coordinate with contractor and supplier document control teams to ensure compliance with project requirements.
  • Maintain and update Master Document Registers and Document Distribution Matrices.
  • Monitor document status and provide regular reporting to project stakeholders.
  • Support information handover activities during project close-out and transition phases.
  • Respond to document-related queries and provide guidance to project personnel.
  • Liaise with project teams, contractors, and information management personnel across multiple international locations.
  • Participate in continuous improvement and digitalisation initiatives to enhance document management processes.
  • Promote and maintain compliance with Health, Safety, Security, Environment, and Quality (HSSEQ) requirements.
Requirements Education
  • High School Diploma or equivalent.
Experience
  • Minimum 5 years' experience as a Document Controller within major Oil & Gas, Energy, EPC, Infrastructure, or Industrial projects.
  • Experience supporting large-scale engineering and construction projects.
  • Knowledge of project document control processes throughout the full project lifecycle.
Technical Skills
  • Strong experience using Electronic Document Management Systems (EDMS).
  • Proficient in Microsoft Office Suite.
  • Experience with Adobe Acrobat and document scanning software.
  • Strong attention to detail and organisational skills.
  • Ability to manage multiple priorities in a fast-paced project environment.
Languages
  • Fluent English is essential.
  • Additional languages such as French, Portuguese, or Italian would be advantageous.
