Position Title: JS.FIN.007 Travel Officer & Accounts Payable Officer
Grade: NJS 10

The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Travel Officer & Accounts Payable Officer within the Accounts unit based in Waigani.

Role Overview:

This position is responsible for supporting the Team Leader Travel in executing domestic travel arrangements for Judicial Officers and NJSS Executive Management and Staff. Additionally, the role encompasses accounts for payable processes to ensure efficient and accurate financial operations. This dual role aims to streamline travel and financial processes, enhancing operational efficiency and financial integrity.

Key Responsibilities
  • Assist in coordinating travel arrangements, including flights, accommodation, and transportation including any applicable allowances.
  • Process accounts payable transactions, including invoice processing, payment execution, and record-keeping.
  • Support the Team Leader Travel in managing travel policies and procedures.
  • Monitor travel and financial systems for updates and compliance.
  • Provide customer service to internal clients, addressing inquiries and resolving issues related to travel and accounts payable.
  • Collaborate with vendors and service providers to ensure value and service quality.
  • Participate in the development and implementation of operational improvements.
  • Assist in budget tracking and financial reporting for travel and accounts payable.
  • Maintain up-to-date knowledge of the travel industry and financial regulations.
  • Perform additional administrative duties as required by the Team Leader Travel and Finance division.
Required Qualifications and Experience
  • Diploma in Tourism & Hospitality, Business Administration, or a related field.
  • At least 3 years of experience in administrative roles, with exposure to travel management and/or accounts payable.
  • Strong organizational and time management skills.
  • Proficiency in travel booking systems and financial software.
  • Excellent communication and customer service skills
  • Ability to multitask and prioritize in a fast-paced environment.
  • Detail-oriented with a high degree of accuracy.
  • Strong analytical and problem-solving skills.
  • Team player with the ability to work independently.
  • Adaptability to changing processes and technologies.
  • Integrity and confidentiality in handling financial transactions.
Preferred
  • Certification from a recognized travel or tourism institution.
  • Bachelor in Tourism & Hospitality, Business Administration, or a related field.
  • 3 years or more experience in similar role.
