Position Title: JS.HRM.035 Training Administrative Assistant
Grade: NJS 06
The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Training Administrative Assistant within the HRD & Training unit based in Waigani.
Role Overview:
Provide high level administrative support to Manager HRD & Training and the Training Unit through conducting and organizing administrative duties and activities including receiving and handling of information. The position aims to ensure the smooth and efficient operation of the HRD & Training Unit.
Key Responsibilities
  • Prepare and manage logistics for all training sessions, ensuring materials and venues are ready.
  • Handle incoming and outgoing communication, acting as the first point of contact for the training unit.
  • Process requisitions and handle procurement needs for training activities.
  • Maintain detailed training records, including attendance, evaluations, and certifications.
  • Compile and distribute training reports, highlighting achievements and areas for improvement.
  • Gather data from staff appraisals to inform future training needs and plans.
  • Organize meetings for the training unit, take minutes, and follow up on action items.
  • Deliver excellent customer service to both internal and external stakeholders.
  • Support trainers with research and preparation of training materials.
  • Assist with drafting correspondence and other administrative tasks as required.
  • Perform other duties as directed by Manager HRD & Training.
Required Qualifications and Experience
  • Diploma in Human Resource, Business, Office administration or Secretarial studies.
  • Customer Service Training.
  • 3 years in a similar role.
  • Experience in coordinating training or similar activities or events.
  • Experience in customer support and managing resources in an office environment.
  • Research and resource compilation.
  • Sound knowledge of office management.
  • Intermediate computing skills int MS Office applications-preferably word and excel.
  • Familiar with emails-outlook or office 365.
  • Able to communicate effectively with all staff and external clients.
  • Very good customer service – in person, phone and email.
  • Filing management skills.
  • Attention to detail.
  • Takes initiative.
  • Discipline and well organised.
Preferred
  • Diploma in Human Resource, Business, Office Administration or Secretarial Studies.
  • Customer Service Training.
  • 3 years in a similar role.
  • Experience in coordinating activities or events.
  • Experience in customer support and managing resources in an office environment.
