Position Title: JS.LIB.002 Archivist
Grade: NJS 13

The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Archivist within the Archives unit based in Waigani.

Role Overview:

The Archivist is responsible for overseeing the comprehensive management, preservation, and accessibility of the court's archived files and documents. This role exists to ensure the integrity and historical value of the court's records are maintained and accessible for legal reference and research, contributing to the judicial process's transparency and efficiency.

Key Responsibilities
  • 1. Catalogue, store, and maintain physical and digital court files in a secure and organized manner.
  • 2. Develop, review, and update archival policies and procedures annually.
  • 3. Collaborate with IT to implement and maintain digital archiving systems.
  • 4. Conduct regular audits of archived materials to ensure compliance with preservation standards.
  • 5. Provide training to Library & Archives staff on handling and accessing archived materials.
  • 6. Assist authorized personnel in accessing and interpreting archived files for research and legal proceedings.
  • 7. Manage the acquisition of new archival materials and integrate them into the existing collection.
  • 8. Prepare reports on archival activities, challenges, and achievements for the Supreme and National Court Registry.
  • 9. Lead projects aimed at improving archival management and accessibility.
  • 10. Ensure ethical and legal compliance in all archival operations.
Required Qualifications and Experience
  • Degree in Archival Studies, or related field.
  • 4 years of experience in archival work, preferably in a legal or governmental setting.
  • Expertise in archival preservation techniques and standards.
  • Knowledge of digital preservation strategies and systems.
  • Strong organizational and analytical skills.
  • Detail-oriented.
  • Discreet with sensitive information.
  • Adept at problem-solving.
Preferred
  • Degree in Archival Studies, Certification in Digital Archiving, Project Management skills
  • 4 or more years in a similar role.
This Archivist role requires sound judgement, adaptability, and a consistent commitment to professional service.
