The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of The Archives Officer – Supreme Court within the Library & Archives unit based in Waigani.
Role Overview:
The Archives Officer – Supreme Court supports the court by helping to manage, preserve, and make accessible its vast collection of legal records. This role is crucial in keeping the court's historical documents safe and ensuring they are available when needed, supporting the court’s aim to maintain transparent and efficient judicial processes.

We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of The Archives Officer – Supreme Court within the Library & Archives unit based in Waigani.
Role Overview:
The Archives Officer – Supreme Court supports the court by helping to manage, preserve, and make accessible its vast collection of legal records. This role is crucial in keeping the court's historical documents safe and ensuring they are available when needed, supporting the court’s aim to maintain transparent and efficient judicial processes.
Key Responsibilities
- 1. Catalogue and index incoming and existing court records, ensuring accurate record-keeping and easy retrieval.
- 2. Assist in the physical preservation of records, including handling, storage, and environmental monitoring.
- 3. Support digital preservation initiatives, including scanning, metadata entry, and quality control.
- 4. Facilitate controlled access to archives, adhering to security and privacy protocols.
- 5. Follow and contribute to the improvement of archival policies and procedures.
- 6. Conduct routine checks and updates of archival databases to ensure current information.
- 7. Assist in the response to internal and external requests for information, coordinating with senior officers as needed.
- 8. Participate in training sessions on archival best practices and new technologies.
- 9. Assist in the maintenance of digital archiving systems and liaising with IT for any technical issues.
- 10. Engage in the regular audit and inventory of archival materials to assess their condition and identify any necessary actions.
- Completion of Certificate courses in Library or records management, in any relevant discipline.
- 2 years of experience in archival or library setting.
- Understanding of archival cataloguing systems and preservation techniques.
- Basic knowledge of digital preservation standards and practices.
- Ability to use archival management software and databases effectively.
- Detail-oriented with a strong organizational capability.
- Excellent communication skills for effective interaction with a wide range of stakeholders.
- A proactive learning attitude and a firm commitment to maintaining archival integrity and accuracy.
- Diploma in digital preservation, records management, or a closely related field.
- 2 years or more years in a similar role preferably with exposure to legal or governmental records.
