Position Title: JS.LIB.010 Senior Judicial Archives Officer
Grade: NJS 11
The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Senior Judicial Archives Officer within the Library & Archives unit based in Waigani.
Role Overview:
The Senior Judicial Archives Officer role is established to oversee the meticulous management, preservation, and accessibility of the court’s judicial archives. This position ensures the integrity, security, and historical value of the court's records, facilitating their use for legal reference, research, and contributing to the judicial process's transparency and efficiency. The officer is tasked with maintaining a bridge between past and present judicial decisions, aiding in the continuity of legal precedents, and supporting the court’s mission.

Key Responsibilities
- Catalogue, classify, and preserve judicial records, ensuring their longevity and accessibility for future reference.
- Oversee the digitization of physical records, prioritizing based on condition, historical value, and demand.
- Develop and enforce policies and procedures for the archival system, aligning with best practices in archival science and legal requirements.
- Conduct periodic audits of the archives to ensure compliance with preservation standards and policy requirements.
- Manage access protocols for sensitive documents, balancing the need for confidentiality with legal and public access requirements.
- Collaborate with IT specialists to implement and maintain digital archiving systems, ensuring data integrity and security.
- Monitor and manage the physical and environmental conditions of archive storage areas to prevent damage to records.
- Respond to internal and external requests for information, ensuring timely and accurate provision of documents.
- Participate in archival and judicial committees to represent the interests and priorities of the archives.
- Lead activities aimed at enhancing the functionality, accessibility, and sustainability of the judicial archives.
- Diploma in Library Systems, (Major in Information & Communication Science) or related field.
- 3 years of experience in archival work, preferably in a legal or governmental setting.
- Expertise in archival preservation techniques and standards.
- Knowledge of digital preservation strategies and systems.
- Strong organizational and analytical skills.
- Detail-oriented.
- Discreet with sensitive information.
- Adept at problem-solving.
- Degree in Archival Studies, Certification in Digital Archiving,
- 3 or more years in a similar role.
