Position Title: JS.NCV.002 Administrative Assistant
Grade: NJS 08
The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of Administrative Assistant within the National Court Civil unit based in Waigani.
Role Overview:
The Secretary/Administrative Assistant supports the Deputy Registrar by managing administrative tasks, scheduling, document handling, and communication, ensuring the efficient operation of the Deputy Registrar's office.
Key Responsibilities
  • Schedule Management: Coordinate the Deputy Registrar's calendar, including court sessions, meetings, and events.
  • Document Handling: Prepare, process, and manage all types of documents and correspondence with adherence to legal standards.
  • Meeting Coordination: Organize meetings, including logistics, agenda preparation, and minute-taking.
  • Communication Management: Serve as the primary point of contact for the Deputy Registrar, handling incoming communications and inquiries.
  • Legal Research Support: Assist with legal and administrative research as required.
  • Travel Arrangements: Plan and manage travel itineraries for business trips, ensuring efficient scheduling.
  • File Management: Maintain a comprehensive and organized filing system for easy retrieval of documents.
  • Confidentiality Maintenance: Ensure the security and confidentiality of all sensitive information.
  • Report Generation: Prepare regular reports on activities, filings, and case progress for review.
  • Project Assistance: Support the Deputy Registrar in special projects and initiatives, providing administrative and logistical support.
Required Qualifications and Experience
  • Diploma in Legal studies or equivalent.
Preferred
  • Relevant experience in an administrative or secretarial role, preferably within a legal or court environment, is essential.
