Position Title: JS.SCT.039 File Registration Officer Crimes
Grade: NJS 05

The National Judicial Staff Services (NJSS) has initiated a major organisational restructure to strengthen its workforce and enhance the delivery of efficient, effective, and quality support services to the Judiciary and courts throughout Papua New Guinea. We invite suitably qualified, experienced, and motivated Papua New Guineans to apply for the position of File Registration Officer Crimes within the Court File Registration unit based in Waigani.

Role Overview:
The File Registration Officer is responsible for executing the tasks involved in the registration of criminal cases within the Supreme Court Registry. Working under the supervision of the Team Leader Court File Registration, this role requires meticulous attention to detail, a strong understanding of court procedures, and effective communication skills to support the judiciary's functions efficiently.

Key Responsibilities
  • Case Receipt and Initial Vetting: Receive and conduct preliminary assessments of criminal case filings to ensure compliance with court requirements.
  • Data Entry and Maintenance: Accurately input case details into the court's management system and maintain up-to-date records for all registered cases.
  • Documentation Preparation: Prepare and organize case files and documents for review, ensuring that all necessary information is complete and accessible.
  • Court Listings Assistance: Assist in the coordination and preparation of daily court listings, collaborating with the Team Leader to ensure efficiency and accuracy.
  • Stakeholder Communication: Provide timely and accurate information to lawyers, court users, and other stakeholders regarding case registration statuses and procedures.
  • Compliance Checking: Regularly check filings and registrations against court rules and procedures to ensure full compliance.
  • Report Generation: Assist in the generation of reports and statistics related to case registrations as required by the Team Leader or management.
  • Process Improvement Support: Contribute to the identification and implementation of process improvements within the registry to enhance efficiency and service quality.
  • Professional Development: Engage in ongoing professional development activities, including training and workshops, to maintain a high level of competency in registry operations.
Required Qualifications and Experience
  • A Certificate in records management, Office Administration.
  • 2 years plus experience in the Court Registry.
  • Sound knowledge of Court Registry operations, practices and procedures.
  • The Officer must have a strong understanding of the legal system, including the structure, functions, and processes of the judiciary.
  • Effective communication and interpersonal skills are also important for collaborating with stakeholders, such as judges, court administrators, and other government officials.
Preferred
  • A diploma in law or related field would be advantageous but not essential.
  • 3 years plus experience, must have previous experience in records or file management.
