THE ROLE
As Office Manager, you'll keep the office running smoothly as we scale, while playing a hands-on role across finance, HR, and project administration. You'll manage invoicing, banking and insurance-related administrative work, and financial reporting; support HR and onboarding; assist with project scheduling and dashboards. This role blends day-to-day office operations with real ownership over the administrative and financial processes that keep a fast-growing company running. KEY RESPONSIBILITIES
  • Manage day-to-day operations, including facilities, supplies, and vendor relationships. 
  • Serve as the first point of contact for the office, greeting visitors and coordinating communications. 
  • Manage invoicing, expense tracking, and administrative support to finance operations. 
  • Handle banking- and financing-related administrative responsibilities, including insurance documentation and travel requests. 
  • Support financial modeling, cost tracking, and reporting to help inform business decisions. 
  • Manage HR and onboarding responsibilities, including new-hire setup and employee record-keeping. 
  • Support project scheduling and administrative project work across active engagements. 
  • Manage and assist with project dashboards and reporting tools, such as Power BI.
  • Develop, document, and maintain company operating procedures as the business scales, with a continuous-improvement mindset. 
  • Coordinate domestic and international travel arrangements for staff and leadership. 
  • Plan and coordinate company meetings, events, and leadership logistics. 
  • Provide scheduling and administrative support to executive leadership. 
  • Support other general office management and administrative duties typical of a growing EPCM/engineering firm.
REQUIRED QUALIFICATIONS
  • 3+ years of office management, administrative, or operations experience; relevant work experience may be substituted for formal education on a year-for-year basis. 
  • Excellent organizational, communication, and multitasking skills. 
  • Proficiency with Microsoft 365 (Word, Excel, Teams). 
  • Experience with invoicing, expense tracking, or general financial administration. 
  • A high level of discretion and professionalism when handling confidential and financial information. 
  • Willingness to relocate to the Greater Houston area.
PREFERRED QUALIFICATIONS & INDUSTRY EXPERIENCE
The following experience and certifications are valued but not required.
  • Associate's or Bachelor's degree in Business Administration, Finance, or a related field, or equivalent professional experience. 
  • Financial modeling or budgeting experience. 
  • Experience with project scheduling tools such as Primavera P6 or Microsoft Project. 
  • Experience with Power BI or other data visualization / dashboard software. 
  • Experience with HR or payroll platforms such as Gusto, and expense or finance tools.
  • Experience with time-tracking or project tools 
  • Background in engineering, construction, energy, or professional-services environments.
