Our client is looking for an experienced Administrative Assistant to join their team out of their facility in Augusta, GA! This individual will play a key role in facilitating the efficient functioning of the Operations department by performing a variety of clerical and administrative tasks. Responsibilities include resolving administrative inquiries and questions, answering phones and emails, maintaining files in accordance with company retention policy, etc. This is a full-time, contract opportunity with a well known company within the energy sector offering competitive compensation, health benefits (medical, vision, dental), 401K, life insurance, and more!

Essential Duties and Responsibilities:
General Administrative Support
- Responds to and resolves administrative inquiries and questions.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries and presentations of data when needed.
- Answers and transfers phone calls, screening when necessary.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Maintains files according to the Nutrien’s records retention policy.
- Assists in onboarding newly hired administrative assistants and new employees within the operations group.
- Maintains furniture, office, and kitchenette supplies and coordinates maintenance and replacement.
- Coordinates the Operations department’s travel arrangements.
- Performs other duties as required.
Meetings, Scheduling, and Coordination
- Coordinates and schedules meetings and appointments for the department; prepares agendas, records, and distributes minutes.
- Provides additional administrative relief where needed.
Timekeeping and Financial Processing
- Processes Time, Attendance, and Overtime Data for the department.
- Processes department members' subscriptions, memberships, and educational assistance applications and payments.
- Manages recognition and retirement awards, including recommending in-house tokens, processing monetary awards, and purchasing retirement gifts per policy.
Shipping, Sales, and Documentation
- Liaises with international sales teams and other internal and external stakeholders to provide administrative support to the product handling and shipping function at the site.
- Follows up on approvals for all shipping documents.
- Ensures all documents are sent via respective courier as required.
Required Education and Experience:
- High School Diploma or GED
- Associate’s or bachelor’s degree in Business Administration will be preferred
- Minimum three (3) years’ experience in an administrative role
- Experience with ERP system will be an asset
Required KSAs:
- Knowledge (theoretical or practical understanding of a subject)
- Basic knowledge of the ammonia & urea industry
- Proficient understanding of clerical procedures and systems such as recordkeeping and filing
- Proficient in the English language, including strong knowledge of vocabulary, spelling, grammar for effective written and verbal communication
- Strong knowledge of administrative and office procedures, including word processing, file and record management
- Skills (proficiencies developed through training or experience)
- Computer Literacy: proficient in Microsoft Office suite
- Exceptional active listening skills, including attentively engaging in conversations and fully understanding key points.
- Effectively manage personal time and coordinating schedules to optimize productivity.
- Application of critical thinking and analytical reasoning to determine the most effective approach to problem-solving.
- Assess the impact of new information and apply it effectively to both current and future problem-solving and decision-making.
- Ensuring the proper acquisition and management of equipment, facilities, and materials required for efficient task completion. Project management skills
