Administrative Assistant 
Contract Duration: 4 months (29 June 2026 – 28 October 2026)
Location: Singapore
Note: Due to the short-term nature and urgent start of this role, candidates must already have the right to work in Singapore. Work pass sponsorship is not available.

NES Fircroft is currently recruiting an Administrative Assistant to support a major offshore energy project.

The Administrative Assistant shall provide day-to-day administrative and coordination support to the project team, ensuring efficient office operations and effective communication across stakeholders. This is an urgent requirement.

Specifically, you shall be responsible for:
  • Provide comprehensive administrative support to the Project Management Team (PMT) and wider project stakeholders.
  • Coordinate meetings, including scheduling, room bookings, preparation of agendas, and recording minutes.
  • Maintain and organize project documentation, ensuring proper version control and compliance with company procedures.
  • Manage correspondence, including emails, reports, and internal communications.
  • Support travel arrangements, accommodation bookings, and logistics coordination for project personnel.
  • Assist in the preparation of reports, presentations, and project documentation for internal and external stakeholders.
  • Track and manage office supplies, invoices, and administrative expenses.
  • Coordinate onboarding processes for new team members, including access, documentation, and induction scheduling.
  • Interface with contractors and third parties to facilitate administrative processes and documentation flow.
  • Ensure confidentiality and proper handling of sensitive project information.
  • Support continuous improvement of administrative processes and systems to enhance efficiency.

To be successful in this role you shall need:
  • Diploma or Degree in Business Administration or equivalent.
  • Minimum 3–5 years of experience in an administrative role, preferably within oil & gas, energy, or large project environments.
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience in document control systems and project-based administrative processes will be advantageous.
  • Strong communication skills, both written and verbal.
  • Ability to work effectively in a fast-paced, multicultural project environment.
  • High attention to detail and strong problem-solving skills.
  • Experience supporting senior management or project teams will be highly advantageous.
  • Demonstrated ability to maintain confidentiality and manage sensitive information professionally.
