Position Overview
The Administrator/Office Supervisor is responsible for delivering high‑level administrative and secretarial support to ensure efficient daily operations. This role handles complex and confidential assignments, applies advanced computer and organizational skills, and supports the Business System Administrator with day‑to‑day business system activities. The Administrator/Office Supervisor also oversees office workflows and provides guidance and training to other administrative staff.

The Administrator/Office Supervisor is responsible for delivering high‑level administrative and secretarial support to ensure efficient daily operations. This role handles complex and confidential assignments, applies advanced computer and organizational skills, and supports the Business System Administrator with day‑to‑day business system activities. The Administrator/Office Supervisor also oversees office workflows and provides guidance and training to other administrative staff.
Key Responsibilities Administrative & Secretarial Support
- Prepare, type, and proofread formal letters, interoffice correspondence, and various business documents.
- Draft correspondence and independently respond to inquiries as needed.
- Maintain accurate and organized departmental records, files, and documentation.
- Coordinate travel arrangements, including schedules and reservations.
- Manage incoming calls and provide information or direction at an advanced level.
- Coordinate meetings, appointments, and internal communications.
- Schedule conference rooms, audio/visual equipment, and other required materials.
- Support daily office operations to ensure a smooth and professional work environment.
- Supervise administrative staff and provide training, guidance, and performance support.
- Oversee workflow to ensure tasks are completed accurately, efficiently, and on time.
- Assist the Business System Administrator with daily system activities.
- Monitor the accuracy, completeness, and timeliness of critical business system transactions.
- Strong proficiency in office software and business systems.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proven organizational and multitasking abilities.
- Experience supervising or training administrative staff is an asset.
