HR Systems Specialist
Location: London
Our client, a Global Energy Company, are currently hiring a HR Systems Specialist to join the team in their London offices.
Purpose of Role:
The HR Systems Specialist is essential for supporting the HR Strategy & People Analytics team in managing and executing global systems activities across the global business. This role is a strategic advisor to the HRIS Lead and to the VP Strategy & Planning offering insight and technical expertise on the use and further evolution of the HRIS system (SAP Success Factors) and associated HR IS products. Key responsibilities include:
• Enhance and continually improve the HRIS system functionality for efficiency and self-service, including developing system tools, managing and testing upgrades, and new features
• Collaborate with senior HR leaders and key stakeholders including IS, IS HRIS partners (Cognizant), Finance, Supply Chain, to ensure HR systems are recognised as an integral aspect of the enterprise-wide system landscape, understanding and translating needs to ensure a value-add HR system
• Support HRIS projects, systems integration work, developing project plans to ensure effective management and communication of HRIS changes
• Prioritise compliance and security in ensuring compliance with permissions, data protection laws; monitor system usage and maintain documentation
• Contribute to upskilling broader HRIS capability within the global HR team
Areas of Accountability, Responsibility and Competence:
System Configuration and Management
• Manage and update system configurations as needed to accommodate changes in business processes, organisational structure, or compliance requirements
• Provide business requirements and oversee the Service Provider who is creating and maintaining business rules within SuccessFactors to automate processes, enforce data validation, and trigger actions based on specific conditions
• Configure and maintain picklists, foundation objects, and other master data elements that underpin SuccessFactors modules
• Design and manage complex approval workflows, ensuring that they align with organisational policies and are properly integrated with other HR processes
• In liaison with HE implementation partner, maintain multiple SuccessFactors instances (e.g., Development, Test, Production) including instance refreshes, data migration between environments, and environment synchronisation
• Provide system support for position creation and broader organisational management (OM) activities in SAP HCM (P10).
User Management
• Manage user accounts, roles, and permissions, ensuring that users have appropriate access based on their job functions and organisational role
• Implement and maintain security protocols to protect sensitive employee data, including enforcing password policies and monitoring access logs
System Maintenance and Updates
• Manage the application of system updates and patches provided by SAP, ensuring that they are tested and deployed with minimal disruption to users. Monitor the performance of the SuccessFactors system, identifying and resolving issues proactively to ensure optimal operation
Data Management
• Ensure the accuracy and consistency of data within the SuccessFactors system, performing regular audits and cleanups as needed. Manage the import and export of data to and from SuccessFactors, ensuring proper data mapping and transformation as required
• Manage monthly organisational data processing within Org Manager (Ingentis) to maintain accurate, up to date company org charts.
• Provide system support for organisational design using Ingentis, enabling effective business re organisations and M&A activity.
Troubleshooting and Support
• Provide advanced technical support to end-users and HR teams, troubleshooting and resolving system issues or escalations to support partners and SAP
Training and Documentation
• Provide first-level training and guidance to end-users and HR teams to ensure they can effectively use the SuccessFactors system
• Develop and deliver extended training programs and materials to system super users and admins
• Create and maintain detailed documentation of system configurations, processes, and procedures to support ongoing administration and future changes
Reporting and Analytics
• Support data analysts to support strategic decision-making, dashboard creation, people analytics
Continuous Improvement
• Regularly review and optimise system configurations and processes to improve efficiency and user experience. Gather feedback from users and stakeholders to identify areas for improvement and implement changes as needed
Critical Skills:
• Academic Qualifications: Degree in relevant field or relevant experience; further education or certifications in HR preferred
• Relevant Experience: Proven experience in an HRIS support role, preferably within the oil and gas industry or a similar complex, regulated environment including process development
• Organisational Skills: Excellent organisational and time-management skills, with the ability to handle multiple tasks simultaneously
• Communication Skills: Strong communication skills, both written and verbal, with the ability to interact effectively with all levels of staff
• Technical Proficiency: Expert proficiency in SAP SuccessFactors and MS Office, particularly Excel, for managing data and reports
