Job Title: Material Coordinator
Location: Calgary, Alberta
Length: 1 Year (with potential extension)
Rotation: Monday - Friday
 
Role Summary
The Material Coordinator is responsible for managing the end-to-end coordination of materials in support of Canadian Gas Projects. Reporting to the Manager of Material Coordination and Project Support, this role ensures that all project materials are delivered on time and to the correct location to support project schedules.
 
The successful candidate will be service-oriented and work closely with Project Managers, Project Engineering, Supply Chain Buyers, Expeditors, Warehouse teams, and other key stakeholders to ensure efficient identification, requisitioning, expediting, and delivery of materials required for project execution.
 
Key Responsibilities
  • Review Bills of Material (BOMs) with Project Engineers to identify materials supplied by the company, Fabricators, or Construction Contractors. Reviews typically occur at 30%, 60%, 90% design milestones and during final IFC checks to ensure completeness in material tracking tools.
  • Coordinate with Materials Management and Warehouse teams to identify available inventory and surplus materials.
  • Create SAP purchase requisitions and SAP reservations based on engineering Bills of Material.
  • Submit requests for new Material Masters when suitable items are not available in the SAP material catalogue.
  • Locate and manage required material documentation and records, including Material Test Records (MTRs), to support construction and commissioning.
  • Resolve material discrepancies related to quantity, quality, or documentation across functional teams.
  • Work closely with Expeditors to identify potential material risks such as late deliveries, shortages, or damages, and execute recovery plans.
  • Ensure supplier and fabricator deliveries are expedited according to predefined schedules to meet Required at Site (RAS) dates.
  • Provide construction teams with required material documentation and status updates.
  • Instruct Warehousing teams to release and issue materials to Fabricators, laydown yards, or directly to Construction Contractors.
  • Coordinate the physical receipt of materials at warehouses, project sites, laydown yards, Fabricators, and contractor locations.
  • Enter Goods Receipts in SAP for all applicable materials (excluding deliveries handled directly by warehouse personnel).
  • Identify surplus materials for transfer back to inventory or Investment Recovery.
 
Role Scope
  • Ensures materials are available to support project schedule, cost, and construction readiness.
  • Acts as a central coordination point between Engineering, Supply Chain, Warehousing, Expediting, and Construction.
  • Contributes to project efficiency by proactively identifying and mitigating material-related risks.
  • Maintains accurate material records and tracking to support cost control and audit requirements.
 
Minimum Qualifications
  • Minimum of 2 years of related experience in a project-based environment (preferably oil and gas, pipeline, or power industries).
  • Demonstrated experience supporting projects through material coordination, procurement, expediting, and/or warehousing activities.
  • Ability to manage multiple high-priority projects and competing deadlines.
 
Preferred Qualifications
  • Post-secondary education in a related field.
  • Experience within oil and gas, pipeline, or power industries.
  • General knowledge of materials and equipment used in pipeline and facility construction.
  • Ability to read and interpret engineered design drawings and Bills of Material.
  • Strong computer skills, including SAP (requisitioning and receiving) and Microsoft Office tools (Excel, Outlook, etc.).
  • Experience using AI tools and/or managing Power BI dashboards.
  • Strong written and verbal communication skills with solid analytical, problem-solving, and project coordination abilities.
