Office Administrator – Operations Portlethen, Aberdeenshire
Long-term PAYE Contract | View to Permanent

An established energy services and industrial solutions business supporting offshore and onshore operations is looking to appoint an experienced Office Administrator to join its Operations team in Portlethen.

This is a long-term PAYE contract role, offering stability from day one with a planned transition into a permanent position for the right candidate. The role plays a key part in ensuring the smooth coordination of personnel, training, compliance, and day-to-day operational support.

The role Working closely with the Operations team, you will provide comprehensive administrative support across personnel logistics, training, medical compliance, and general office activities. This is a varied, fast-paced role suited to someone who enjoys being at the centre of operational activity.

Key responsibilities include:
  • Coordinating medicals for offshore personnel
  • Arranging offshore training including BOSIET/FOET, MIST, drug & alcohol screening, audiometry and vaccinations
  • Supporting operations with travel and accommodation arrangements
  • Maintaining up-to-date personnel training and medical records
  • Monitoring visa status and relevant travel guidance
  • Recording timesheets and supporting time recording processes
  • General office administration including visitor management, stationery ordering and CRM support
  • Processing invoices and goods receipting within internal systems
  • Supporting ad-hoc operational and administrative requirements as needed
What we’re looking for
  • Previous experience in an office administration or operations support role
  • Strong organisational skills with excellent attention to detail
  • Confident user of MS Office & Adobe.
  • Good communication skills and ability to work with multiple stakeholders
  • A proactive, self-motivated approach with the confidence to use your initiative
  • Flexibility to support the business during busy operational periods
Experience within energy, offshore, industrial, or service-led environments would be highly advantageous but is not essential.
