Inpex Australia are currently seeking a Project Administration Assistant for a 12-month contract with potential to extend.

Position Primary Objective:
- To provide wide range of assistance and administrative support for the Development Project Control team(s)
- Liaise closely and share knowledge with other project admins to ensure consistency in processes and procedures.
- Provide support and cover as required for other Development Project teams.
- Conduct all activities in a safe and efficient manner in accordance with the Company’s policies and procedures. Ensuring the welfare of personnel and the protection of assets and the environment at all times.
- Manage project correspondence process by using CDS (internal and external)
- Maintain desk plan / office plan / list of Company personnel / organization charts in SAP.
- Facilitate access to CDS and maintain the list of external users of CDS.*
- Coordinate and accomplish sign off of key documentation for both Company and Contractor.
- Provide support for document management process.
- Manage data and document filing.
- Provide necessary support to project controls
- Provide guidance on all aspects of the Travel process
- Coordinating flights, accommodation and mobilisation of all direct and indirect employees to client sites.
- Coordinate personnel via company databases.
- Support expense claim process.
- Provide support for a necessary working visa for team member.
- Manage reception services / IT services / mail and distribution services / admin services / facilities services / First Aids equipment with Contractor’s admin team
- Maintain annual leave tracker
- Office management includes carpark access, stationery ordering, sundries and consumables .
- Manage Contractor provided access cards.
- Provide necessary admin supports for secondees from external parties such as engineering service contractor and maintenance services contractor.
- New starters onboarding and arrangements (checklist completion and filing)
- Guest and visitor arrangements
- Offboarding of leavers (separation checklist preparation and filing)
- Providing access to Contractor for External CDS access
- PPE ordering and distribution
- Provide guidance for training requests
- Manage IT assets belonging to Development Projects division
- Distribute general info emails/notifications to Development team
- Team building arrangements
- Require communication skills and collaborative attitude with other team members.
- Work collaboratively within Company organization to achieve alignment on strategies and documentation required to achieve the project objectives.
- Develop and sustain a professional working relationship with stakeholders.
