Project Site Admin & Document Control - 18 months contract

Job Descriptions:

• Support the site manager and engineering team on site to organize documents such as drawings, reports, tracking records, site documents, etc., either in hardcopy or softcopy format

• Manage the flow of site documents, submittals, and transmittals between the site team, back office, contractors, and the Client, and oversee the database's filing structure

• Review received documentation to determine its place in the database's filing structure, either in a typical folder or via Conzol system.

• Maintain an extensive database of correspondence, reports, and other project-based documentation

• Ensure all incoming documentation is correctly categorized within the project's filing structure and meets quality standards

• Attend site meetings to record Minutes of Meeting (MoM) and assist the Site Manager in compiling daily/weekly progress reports as per request

• Oversee site facility management, including accommodation, site vehicle scheduling, and labor man-hour tracking

• Maintain a register of onsite assets (PPE, drones, hand tools, and stationery) and manage office supply orders of UL properties onsite

• Perform other administration-related duties as needed

Candidate requirements:

• Valid driving license

• Work and base onsite 6 days/ week (Mon-Sat)

• 1–3 years in document control or administration, ideally in Construction or Infrastructure.

• Proficient in Thai and English at the working level in reading, speaking, and writing skills

• Filing documents and managing time to meet project schedule and requirements

• Flexible and adapts quickly to changing deadlines and unique project requirements

• Understand the project construction nature and communicate with team members of various disciplines


The candidate shall be familiar with or have extensive experience with the following programs

• Office 365, particularly Word, Excel, and PowerPoint

• Adobe Acrobat Pro

• SharePoint Online


The following programs are not mandatory, but an advantage if the candidate has previous experience

• Document Management System (Conzol)

• MS Project

• AutoCAD DWG viewer
