Due to the need for the Construction Management Administrative Assistant (CMAA) to become familiar with our client’s networks and systems, a short indoctrination period may be scheduled at our client’s Saskatoon office prior to mobilization to site.
The CMAA will report to, and will have tasks assigned by, the Construction Management General Supervisor. The CMAA will provide general day-to-day office administrative support that covers multiple fields of competence, while supporting strong communication between all members of the Construction Management Team.
Responsibilities include, but are not limited to:
Coordinating with the various groups working at our client’s McClean Lake Operation, including but not limited to:
Interfacing with technical staff to ensure correct delivery of technical solutions.
Conducting other duties assigned by the Construction Manager to ensure safe and efficient project delivery.
Becoming thoroughly knowledgeable with the project work requirements through review of contractor and our client’s documentation.
Participating in cross-training with our client’s Document Control department.
Coordinating the receipt, distribution, and filing of incoming and outgoing documentation to the Construction Management site office, including but not limited to:
Supporting the effective logging and filing of field coordinators’ daily logs and photographs.
Tracking and supporting timesheet entry.
Reviewing and entering field punch items into the Master Deficiency Log and tracking deficiency correction.
Maintaining project tracking lists including the Change Instruction Log, Request for Information Log, and Master Deficiency Log.
Verifying that work packages are complete and ready for turnover after construction.

This is a 14/14 rotation, working 12 hour days with camp provided

- Other contractors outside of CMT supervision

Requirements:
- Post-secondary diploma or certificate in business administration, office administration, project administration, or a related field.
- Minimum of 5 years of administrative or project coordination experience in construction, mining, industrial, or heavy industrial environments.
- Previous experience supporting construction management or project teams on active sites is strongly preferred.
- Proficiency with Microsoft Office (Outlook, Word, Excel, and SharePoint or equivalent document management systems).
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
- Demonstrated ability to interface effectively with technical, field, and management personnel.
- Familiarity with contractor documentation, including RFIs, change instructions, turnover packages, and as-built documentation.
- Experience tracking timesheets, daily logs, punch lists, and project tracking registers.
- High attention to detail and accuracy, particularly in documentation and record keeping.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision while supporting a team-based environment.
- Willingness and ability to complete site-specific training, security clearance, and safety indoctrination.
- Eligibility to work in Canada and meet all site access and security requirements.
- Ability to travel and work at a remote site on a rotation basis
