Job Title: Facility Administrator I
Location: Calgary, Edmonton, Toronto
Length: 1 year (with potential extension)
Rotation: 3 days in office (Mon/Tues/Thurs) and 2 days remote (Wed/Friday)

Key Responsibilities:
Systems & Data Management
- Maintain accurate lease and financial data in the lease administration platform (Tango).
- Support the transition of U.S. utilities and lease‑related data into Oracle Cloud.
- Track critical lease dates, including expiries, renewals, and landlord/tenant obligations.
- Assist with the rollout and ongoing use of lease administration tools.
- Maintain records related to real estate transactions and key documentation.
Financial Administration
- Assist with processing rent payments, invoices, and financial transactions.
- Track brokerage commissions and rebate payments.
- Support subtenant billing and payment records.
- Participate in resolving payment or coding issues across ERP systems (Oracle Cloud, Oracle R12, SAP).
- Support annual operating cost reconciliations (CAM/OpEx) and lease audits.
- Assist with planning, tracking, and verifying payment cycles.
- Support accounts receivable activities related to rent collection.
Compliance & Documentation
- Support lease accounting activities under ASC 842.
- Coordinate documentation for property acquisitions, sales, leases, and subleases.
- Request and track insurance certificates for landlords.
- Assist in setting up new suppliers in ERP systems.
- Track outstanding broker deliverables and help ensure deadlines are met.
- Support document execution and ensure compliance with corporate policies.
- Help operationalize lease requirements and prepare for audits.
Risk & Performance Support
- Monitor key lease lifecycle touchpoints to help avoid compliance issues.
- Assist in identifying potential landlord performance issues and flagging them for review.
Qualifications:
Required
- Post‑secondary education in Business, Commerce, Accounting, Real Estate, Finance, Urban Studies, or a related field.
- Co‑Op, internship, or project experience involving data management, business operations, finance, or real estate concepts.
- Strong organizational skills and attention to detail.
- Clear communication and problem‑solving abilities.
- Comfortable working with multiple systems and learning new technologies.
- Ability to manage deadlines in a fast‑paced, team‑oriented environment.
- Experience with ERP platforms (Oracle Cloud, SAP, Oracle R12).
- Exposure to lease administration tools (Tango, CoStar, Yardi) through coursework or Co‑Op.
- Understanding of basic real estate or lease terminology.
- Intermediate Excel skills (VLOOKUP, pivot tables, data cleanup).
- Experience interacting with brokers, landlords, or external vendors (from work terms or school projects).
