2. Job Summary:
The Freight Officer is responsible for conducting the end-to-end execution of Freight activities, including shipment
scheduling, customs clearance, transportation, and documentation. This role will liaise with the internal teams,
external logistics/ Freight partners and government authorities that shipments are delivered accurately on time,
and in full compliance with company policies and regulatory requirements.

4. Tasks, Duties and Responsibilities (TDR):
Below is a list of TDRs which must be completed to achieve the objectives of this position:
Freight Coordination:
Conduct the end-to-end execution of assigned shipments, ensuring they meet timelines and quality
standards.
Plan and prioritize shipments based on urgency, stock requirements, and business needs.
Ensure the shipment bookings, delivery schedules, rerouting or holds are within cost and regulations.
Monitor shipment progress in real-time and implement immediate corrective actions for minor delays
or discrepancies.
Prepare and verify the accuracy of all shipping documents (bills of lading, airway bills, commercial invoices,
packing lists, certificates of origin) before submission.
Compliance and Regulatory Assurance:
Ensure all Freight documentation is complete and compliant with local customs regulations,
import/export laws, and internal company standards.
Engage with third-party agents to confirm that all product licenses, registrations, and labeling
requirements are in place prior to shipping and address minor compliance issues.
Maintain organized documentation to be submitted to all internal and external stakeholders for auditing
and traceability purposes.
Support in the improvement initiatives in Freight workflow and support the implementation of the
enhancements to the SOPs and workflows.
Stay updated on regulatory changes relevant to Freight operations and ways to mitigate potential risks.

Warehouse Coordination:
Plan and schedule with inventory, warehouse, and inbound teams to align shipment timing with demand
forecasts, product launches, and marketing initiatives.
Coordinate with the warehouse team to ensure shipment schedules are aligned with operational
readiness and space availability.
Ensure timely communication of priority shipments (e.g., campaign items, fast-moving products, urgent
replenishments) to warehouse teams for proper handling.
Manage shipment for the returns, expired products, or damaged inventory, ensuring the legal
compliance, adherence to organizational policy along with appropriate documentation and system
updates.
Reporting:
Maintain shipment reports and operational logs for analysis and process visibility.
Track key shipment metrics such as delivery times, documentation accuracy, and transit exceptions.
Identify key trends, any recurring delays or inefficiencies in the Freight workflow and propose solutions
to optimize time, cost and inventory.
Assist in developing standard operating procedures for shipment handling and documentation.
Support process audits and quality checks to ensure compliance with internal standards.
Prepare periodic reports summarizing operational performance, trends, and areas for improvement.
5. Job Requirements:
Education & Experience:
Bachelor’s degree in Business Administration or Supply Chain /Logistics Management or related field.
Minimum of 3 years of experience in Freight coordination, shipment management and customs handling.
Systems & Languages:
Proficient in using ERP systems and tools.
Good expertise in Microsoft Office Suite, particularly Excel, Word.
Good Knowledge of customs clearance procedure and supply chain management.
Good Written and verbal communication skills in English.
Knowledge, Skills and Abilities:
Strong organization skills and keen attention to detail and accuracy.
Excellent stakeholder management to ensure alignment, clarity and proactive issue resolution across
departments and vendors.
Knowledge of relevant regulations and best practices related to inbound and outbound Freight, customs
regulations, supply chain workflows, warehousing and shipments
Ability to proactively manage movement of shipment.
Proficient in tracking, follow ups, reporting for inventory and freight management.
Excellent in reporting and time management.
