Office Technician
Location: Sacramento Area (2+ Year Contract)

Position Summary
Office Technician will provide administrative, clerical, and technical support for an upcoming construction project. This role is essential to ensure accurate project documentation, efficient communication, and smooth coordination between construction management staff, inspectors, engineers, contractors, and clients. The Office Technician will work in both field office and corporate office environments, supporting daily construction activities for water and wastewater pump station projects.

Key Responsibilities
Document Control & Records Management
  • Maintain organized project files, logs, and records in accordance with client requirements.
  • Track and log RFIs, submittals, shop drawings, change orders, and correspondence.
  • Assist with preparation, formatting, and distribution of construction documents.
  • Maintain electronic document management systems and ensure version control.

Construction Support & Coordination
  • Provide administrative support to Resident Engineers, Construction Managers, Inspectors, and ESDC staff.
  • Support meeting coordination, agendas, sign-in sheets, and meeting minutes.
  • Assist with tracking contract documents, permits, and certifications.
  • Coordinate communication between project teams, contractors, and client representatives.

Reporting & Deliverables
  • Compile daily, weekly, and monthly construction reports.
  • Assist with pay application processing, tracking quantities, and maintaining cost records.
  • Support preparation of progress reports, correspondence, and project summaries.
  • Ensure deliverables meet contract requirements and deadlines.

Office Administration
  • Manage general office functions including filing, copying, scanning, and distribution of documents.
  • Track staff timesheets, training documentation, and project-related administrative data.
  • Support onboarding of new project staff and visitors.
  • Maintain office supplies and coordinate equipment needs for project sites.

Quality & Compliance
  • Assist construction management staff with compliance to project procedures and documentation standards.
  • Support audits, closeout documentation, and record turnover at project completion.
  • Maintain confidentiality and professionalism in handling sensitive project information.

Qualifications & Capabilities
Required Qualifications
  • High school diploma or equivalent required.
  • Minimum 3–5 years of experience providing office or administrative support on construction or engineering projects.
  • Experience supporting public infrastructure projects, preferably water, wastewater, or pump station projects.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills.

Preferred Qualifications
  • Experience working on construction management or ESDC projects.
  • Familiarity with construction terminology, contracts, RFIs, submittals, and change orders.
  • Prior experience supporting Resident Engineers or Construction Managers.
  • Knowledge of record-keeping requirements for public agency projects.

Software & Technical Skills
  • Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Experience with document control systems and electronic file management.
  • Familiarity with construction management software (e.g., Procore, CMiC, e-Builder) is a plus.

Work Environment & Requirements
  • Position will work primarily in a project office and/or field office environment.
  • May require occasional travel to project sites.
  • Field office work may include exposure to construction environments and varying weather conditions.
  • Ability to sit, stand, and perform standard office tasks for extended periods.
