We are working with our Oil and Gas client, recruiting for a Regulatory Assistant to join them on an initial 6-month contract with the possibility of extension.
About the role/duties
  • Provide administrative and project support to the division/team to assist the smooth operation and function of both the division/team and the authority.
  • Source and provide information to the division/team as required.
  • Assist team members to comply with policies and procedures and provide guidance where required.
  • Contribute to the effectiveness and efficiency of the division/team including active participation in team development and planning activities.
  • Facilitate internal and external meetings, including catering, preparation of agenda and minutes/actions preparation and liaison with attendees.
  • Procurement including raising purchase order requisitions.
  • Reconciliation of expenses and reimbursement claims
Regulatory Operations
  • Facilitate and execute the administration of operational activities and assist directors and regulatory specialists in the implementation of core regulatory processes, including regulatory submissions, and drafting and reviewing correspondence processing, liaising with operators and titleholders in a timely manner, Electronic Document Records Management (EDRMS) and Regulatory Management System (RMS) input, preparation of electronic files and the development and maintenance of division / team files.
  • Assist with quality assurance checks on RMS and EDRMS data searches as required.
  • Process and record monthly injury reports from operators in RMS and liaise with internal and external stakeholders as necessary where required.
  • Travel and Accommodation Bookings
Other
  • Calendar management for Deputy CEO and Directors.
  • Draft email and letter correspondence in response to queries and requests received by the Deputy CEO and Directors.
  • Coordination of internal and external meetings and providing assistance where required.
  • Assist with planning and co-ordination of workshops and events and booking conferences, seminars etc.
  • Provide onboarding advice and assistance to new team members
Experience Required:
  • Previous experience as a Technical Assistant, Team Administrator, Executive or Personal Assistant, Project Administrator and Project Coordinator, including competency in all aspects of Microsoft software products.
  • Demonstrated ability to undertake research and find information on behalf of the Deputy CEO / teams and others.
  • Demonstrated experience in using and maintaining databases, including accessing, tracking and locating information
