About the Role
We are looking for an experienced Site Administrator to support a large-scale industrial energy project in the Netherlands.
In this role, you will provide administrative, organizational, and logistical support to the site management and project management teams. You ensure that documentation, reporting, coordination, and daily site processes run efficiently.
You will mainly focus on one major project while also supporting additional projects when required.

The project involves the construction of a major industrial energy facility delivered under a full EPC (Engineering, Procurement & Construction) scope.
The work is carried out in a large industrial construction environment within an international team.

Key Responsibilities
- Provide administrative support to the site and project management team
- Manage project and site documentation (contracts, reports, drawings, checklists)
- Organize meetings, prepare minutes, handle scheduling tasks, and follow up on action points with stakeholders
- Prepare weekly and monthly progress reports
- Manage the site drawing management system
- Process and track timesheets
- Maintain project filing systems, databases, contact lists, and email groups
- Coordinate and arrange travel and accommodation for staff and team members
- Arrange access permits, security passes, and support onboarding of new employees and subcontractors
- Support procurement activities by ordering office and site supplies and liaising with the procurement department
- Support Health & Safety and Quality processes (documentation and follow-up)
- Act as liaison between site, client, head office, and subcontractors
- Promote safe working practices and contribute to continuous improvement of the site safety culture
- Arrange mail and courier services
- Assist field staff with deliveries
- Manage site company vehicles
- Issue safety notices and bulletins
- Maintain records of all subcontractor and company employees on site and prepare documentation for local authorities if required
- Create daily and monthly reports and reconcile site expenses
- Provide occasional support at the regional office when required
- Valid VCA certificate (or equivalent)
- Completed commercial or technical education
- Proven experience as a Site Administrator, Site Assistant, or Project Assistant on large-scale projects
- Experience within the energy or construction sector is preferred
- Strong MS Office skills (Excel, Word, PowerPoint, SharePoint)
- Experience with document management systems (e.g., Aconex, SharePoint, Autodesk ACC Build, IM2 or similar) is an advantage
- Structured, proactive, and well-organized working style
- Excellent English communication skills (written and spoken); Dutch is a plus
- Willingness to work on a large industrial construction site
- Project-based assignment (approximately 18 months)
- Expected start date: March 2026
- Full-time position (40 hours per week)
- Overtime may be required depending on project needs
