Administration Assistant

NES Fircroft has partnered with a Tier 1 oil & gas business to source an Administration Assistant for the Asset Support team based in Brisbane. This role is ideal for a proactive and organised administrator who thrives in a dynamic environment and enjoys supporting senior leaders and busy technical teams. You will provide high level administrative support to the GM Asset Support, HSSE Manager, and the wider Asset Support and HSSE Leadership Teams. Your ability to manage competing priorities, maintain strong attention to detail, and build positive relationships will be key to your success in this role. The position will commence on an 18 month inital contract, working Monday to Friday in Brisbane CBD.

Key Responsibilities

• Manage calendars for senior leaders and ensure alignment across key stakeholders
• Coordinate travel arrangements for the Asset Support Leadership Team
• Support team activities, events, and onboarding for new team members
• Schedule, minute, and track actions for key leadership meetings
• Assist with HSSE incident reporting and follow up including administrative updates and case close out
• Coordinate Incident Management Team rosters across multiple locations
• Complete reporting and data entry for audits, assurance tasks, and management systems
• Maintain distribution lists and ensure they remain accurate
• Administer team SharePoint and Microsoft Teams sites
• Support communication activities on behalf of senior leaders
• Provide general administrative support to the Asset Support and HSSE Leadership Teams

About You

• Demonstrated experience in a similar administration role supporting leaders or technical teams
• Strong skills with Microsoft Word, Excel, and PowerPoint
• Experience using incident management databases is highly regarded
• Familiarity with SAP or similar financial systems
• Excellent communication skills with strong attention to detail
• Able to work autonomously and as part of a multidisciplinary team
• Organised, proactive, and able to prioritise effectively
• Professional, confident, and keen to learn
