Job Title: Administrative Assistant
Location: Hanover, MD 21076
Rate: $27–$29/hour
Duration: 6 months

Position Overview
The Senior Administrative Assistant provides high-level administrative support to the Office Manager and project teams. This role is responsible for managing daily office operations, coordinating schedules and travel, preparing documents and presentations, and ensuring smooth communication across internal and external stakeholders. The ideal candidate is detail-oriented, independent, and experienced in supporting executive-level leadership.

Essential Duties & Responsibilities
  • Schedule appointments, coordinate meetings, and make travel arrangements.
  • Prepare and process expense reports.
  • Provide meeting and presentation support, including slide creation and database updates.
  • Perform general office tasks: faxing, copying, mail distribution, and maintaining office supplies.
  • Receive and screen phone calls and visitors, offering professional and courteous assistance.
  • Handle customer and vendor communications.
  • Provide coverage for the main switchboard as needed.
  • Occasional overtime may be required.

Qualifications
 
  • Associate degree or equivalent experience (10 years office experience, including 3 years supporting executive-level managers).
  • Strong proficiency with Microsoft Office Suite.
  • Knowledge of Windows-based electronic mail and data communication systems.
  • Excellent grammar, proofreading skills, and strong attention to detail.
  • Ability to work independently, manage workloads, and prioritize tasks effectively.
  • Strong mathematical aptitude, with the ability to perform complex calculations and analyze numerical data.
  • Reliable team player with strong organizational, time-management, and problem‑solving abilities.

Desired
 
  • Experience with DoD travel regulations, including JTR, DTS, and GSA per diem rates.
  • Proficiency in PeopleSoft and familiarity with ERP systems.
  • Knowledge of web-based applications and conferencing tools.
