We are working with our Major Oil and Gas client, seeking an Administrative Assistant to join them on an initial 12-month contract with possible extension.

Roles and Responsibilities:
  • Jointly accountable for management of a shared mailbox; handling stakeholder inquiries and collaborating with your colleagues to deliver a high-quality service.
  • Travel: Liaise with stakeholders as required to book international & domestic travel for department team members as required.  Provide support for mobilization/travel to the operating sites using the respective mobilization tool.
  • Co-ordinate onboarding / offboarding including internal moves
  • Event Coordination: Assist in coordination of functions for department, town halls, team building events and other activities as required. Scope includes booking venues, equipment, managing invites/attendees and catering.
  • Assist with coordinating office seating plans within department and provide support to facilitate personnel moves.
  • Visitor access to facilities
  • Communication (internal / external)
  • Document approvals: Coordinate the flow of all documents for approval / signature, including meeting notes & briefing materials.
  • Maintain team leave and out of office calendar.
  • Maintain department/project organization charts.
  • Green form payments and credit card payments of training courses, external venues, adhoc requirements
  • Adhoc reporting as required by department
  • Support ABU Recognition and Award programs
Skills/Experience:
  • High attention to detail and confidentiality required due to the sensitive nature of documentation and information that is managed by the Department.
  • Excellent written and verbal communication skills as this position will interface with various internal and external stakeholders.
  • Able to work autonomously or in a team environment and support the additional team members.
  • Adaptable and flexible to last minute changes, requests as well as identifying process improvements for implementation across the Admin Team.
  • Proficient in Microsoft Office suite.
  • At least 5 years’ experience in admin within oil and gas or mining.
