Executive Administrator Location - Dubai

About the Role
We are seeking a highly organized and proactive Executive Administrator to provide confidential administrative and coordination support to the General Manager of International Lubricants and Global Marine and the Sales Manager of EMEA. This role demands exceptional organizational skills, prioritization, and communication effectiveness, with the ability to work independently across multiple regions, cultures, and time zones.

The ideal candidate will operate with professionalism, business maturity, and agility to support strategic priorities, internal and external stakeholders, and commercial engagement rhythms.

Key Responsibilities
  • Provide comprehensive administrative support to the GM, International Lubricants, with independence, discretion, and attention to detail.
  • Manage calendars for GM International Lubricants and EMEA Sales Manager.
  • Schedule and coordinate logistics for meetings and special events across multiple regions.
  • Coordinate internal and external meeting logistics for International Lubricants.
  • Track and manage business travel requirements and compile expense reports.
  • Prepare presentations for routine team meetings and maintain systematic filing systems.
  • Ensure compliance in all administrative activities.
  • Manage major seasonal events and deliver administrative tasks with excellence.
  • Provide support for STARS approvals, LPOs, and other IL/GM team requirements.
  • Collaborate closely with leadership and handle ad-hoc administrative tasks.
Required Qualifications
  • Bachelor’s degree in a related field or 10+ years of experience in senior administrative roles (experience preferred over degree).
  • Proven experience supporting senior executives with high autonomy.
  • Advanced proficiency in Excel, Word, PowerPoint, Outlook, SharePoint/Teams, and corporate systems/tools.
  • Strong written and verbal communication skills with excellent professional presence.
  • Ability to manage multiple priorities, adapt to shifting demands, and meet tight deadlines.
