Document Control Administrator II (Maintenance Support)  
Location: Rodeo, California
Schedule: Full-time, Monday–Friday, 7:00 AM–3:30 PM (40 hours/week)
Assignment Duration: 12 months (with potential for extension)
Rate: $28-$32

Position Overview We are seeking an experienced Document Control Administrator II to support a maintenance department in an industrial refinery environment. This role combines document control responsibilities with maintenance system administration (approximately 50/50 split). The ideal candidate will have strong experience managing technical documentation, maintaining equipment records, and working with maintenance management systems.

Key Responsibilities
  • Support and promote a strong safety culture in all activities
  • Manage maintenance documentation, including creation, review, approval, distribution, and archiving
  • Develop and maintain procedures, forms, reports, spreadsheets, and correspondence
  • Enter and maintain accurate data in a computerized maintenance management system
  • Maintain equipment hierarchy, attributes, and bills of materials
  • Process approval workflows for equipment, functional location, and bill of materials updates
  • Prepare and organize maintenance work packages and repair documentation
  • Analyze maintenance records to identify root causes and assign coding classifications
  • Generate and interpret system reports and maintenance summaries
  • Support preventive maintenance planning and scheduling activities
  • Maintain spare parts lists and assist with procurement tracking
  • Track equipment reliability and maintenance performance metrics
  • Maintain audit-ready documentation and support compliance requirements, including change management processes
  • Manage document control systems, including scanning, indexing, and distribution
  • Maintain a library of technical manuals and equipment documentation
  • Identify and implement process improvements for document control workflows
  • Coordinate and track documentation schedules and records
  • Collaborate with maintenance planners, supervisors, and cross-functional teams
  • Support additional projects as assigned
Required Qualifications  
  • High school diploma or equivalent
  • Minimum of 3 years of experience in document control, maintenance support, or computerized maintenance management system administration
  • Prior experience using a computerized maintenance management system
  • Proficiency in Microsoft Office, especially Excel and Word
  • Ability to obtain and maintain required site safety training and access credentials
  • Ability to pass background screening and drug testing
  • Valid driver’s license (may require occasional travel in a company vehicle)
Preferred Qualifications
  • Experience in a refinery, manufacturing, or industrial environment
  • Experience creating and managing maintenance repair documentation
  • Strong familiarity with maintenance workflows and equipment reliability tracking
  • Experience with system reporting, analytics, and master data management
Additional Requirements
  • Ability to wear required personal protective equipment, including flame-resistant clothing and safety footwear
  • Strong organizational, analytical, and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a structured, fast-paced environment
