Job Summary
The Turnaround Document Controls Specialist provides essential administrative and documentation support to the turnaround team across all phases—planning, execution, and closeout. This role ensures that documentation, communication, and coordination flow seamlessly among all stakeholders, contributing directly to safety, scheduling, and cost‑control objectives. The specialist also plays a critical role in supporting the planning team by reviewing, organizing, and processing job packages.

Job Summary
The Turnaround Document Controls Specialist provides essential administrative and documentation support to the turnaround team across all phases—planning, execution, and closeout. This role ensures that documentation, communication, and coordination flow seamlessly among all stakeholders, contributing directly to safety, scheduling, and cost‑control objectives. The specialist also plays a critical role in supporting the planning team by reviewing, organizing, and processing job packages.
Key Responsibilities
- Serve as Admin Assistant and Document Controller for the site turnaround (TA) team.
- Maintain the turnaround database (TADB):
- Enter initial scope information
- Validate and update data
- Provide system training and technical support
- Create user IDs and passwords
- Maintain paper and electronic filing systems, including drawing files.
- Support development and maintenance of planning data and turnaround package data.
- Manage turnaround scope change data (appeals system).
- Support planning data reproduction and distribution processes.
- Maintain the turnaround shared directory and SharePoint site.
- Manage turnaround correspondence and meeting minutes.
- Support project controls activities such as time entry and change‑order tracking.
- Maintain and update turnaround project plot plans (density, crane utilization, equipment locations, temp facilities).
- Annotate and maintain P&IDs according to turnaround planning guidelines.
- Assist with development of field isometrics.
- Maintain office equipment, supplies, and vending machines.
- Coordinate office space setup and equipment for new personnel.
- Handle onboarding for new team members.
- Schedule meetings and lunches as needed.
- Collect and organize documentation for post‑turnaround archiving.
- Perform daily review of change‑order entries and report findings to the Lead Planner.
- Facilitate the Issue for Review (IFR) process.
- Required: High school diploma or equivalent
- Preferred: Bachelor’s degree
- 5–10 years of experience in an industrial, construction, or project‑based environment (education may substitute).
- Proven capability in managing large volumes of technical documentation (work packages, drawings, reports, etc.).
- Familiarity with document control systems, databases, and project management tools.
- Understanding of turnaround processes and planning workflows is an asset.
- Experience coordinating across multiple departments under tight deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, SharePoint, Teams).
- Experience with AutoCAD, IPS, P6, or similar software is advantageous.
