Corporate Executive Assistant
Our client, an oil and gas operator, is seeking an experienced Executive Assistant to provide comprehensive administrative support to two MDs in the Corporate Affairs department (based at their Office in Canary Wharf, London), and ad hoc support to other members of the team.
The ideal candidate will have excellent communication skills, be highly organized, self-motivated and detail orientated. The candidate should demonstrate sound judgment, integrity, and be able to respond quickly and effectively to multiple requests, tasks and projects. The candidate will be required to work both independently, and as part of a team, with the Executives and other Executive Assistants, including Assistants in overseas offices.
A flexible, enthusiastic and proactive attitude is key, as are reliability and punctuality. It is also important that the candidate can remain calm when under pressure as this is a busy role.
The candidate should be proficient and confident using MS Office systems and be open to learning any new digital applications to improve productivity.

Responsibilities for this position include, but are not limited to:
- Arranging international travel and visas to multiple destinations (a significant part of the role). Some of the travel is fairly complex and often changes at short notice
- Processing travel and entertaining expenses (Concur). Relevant experience would be preferred as this constitutes a large part of the role, and some of the expenses are complex and need to be submitted punctually
- Managing MD Outlook calendars
- Scheduling virtual and face-to-face meetings, often across multiple time zones
- Booking meeting rooms and arranging catering and other logistics for in house meetings
- Arranging external and offsite meetings including dinner events
- General administrative support including visitor passes, couriers and other ad hoc tasks and projects as required.
Required Qualifications:
- Ideally a minimum of 5 years’ relevant experience
